INTRODUCTION
Feature Summary: Add event information onto events to optionally show on schedulers for admins and/or members.
Use Case: Display additional information on a specific events. If only admins can view the notes, internal staff notes can be included in these textboxes.
PREREQUISITES
System users should know how to create or edit Events and Reservations.
If admins should view scheduler notes from the admin panel, confirm the platform can display notes on the scheduler.
Go to SETTINGS > ORGANIZATION SETTINGS > GENERAL.
Scroll down to the Show Events/Reservations Notes on Schedulers heading.
Make sure the box is checked.
If members should view scheduler notes from the member portal, confirm the member portal can display notes on the scheduler.
Go to SETTINGS > PORTAL SETTINGS > SETUP.
Scroll down to the Show Events/Reservations Notes on Schedulers heading.
Make sure the box is checked.
SETUP REQUIREMENTS
There are three configuration options.
Note on Recurring Events
Create or edit a note for an event with recurring dates.
Opening the Events page
Log in to the admin dashboard.
Expand the EVENTS panel on the side menu.
Click LIST. A new page displays.
Locate the event to update and click the three-dot icon.
Click Update. A new page displays.
Scroll down to the Note field. Type a message in the field and then click Save Changes.
CourtReserve adds the note to the event on the event calendar. Visibility will depend on if Show Events/Reservations Notes on Schedulers is enabled for admins (under Organization Settings > General), and for members (under Portal Settings > Setup).
For events with recurring dates, the same message displays on each calendar day.
Note on Single-Day Events
Display a note on schedulers for a single date event.
Log in to the admin dashboard.
Expand the EVENTS panel on the side menu.
Click LIST. A new page displays.
Locate the event to update and click the ID number. A new table displays.
Go to the table and click the pencil icon. A popup window displays.
In the popup window, scroll down to the Display Message for the Schedulers heading, type in a message, and click Save.
CourtReserve displays the same note. Visibility will depend on if Show Events/Reservations Notes on Schedulers is enabled for admins (under Organization Settings > General), and for members (under Portal Settings > Setup).
It's not possible to display different notes on admin schedulers and the member portal for the same single-day event.
Note on Single Event Date of Recurring Events
Follow these steps to display a unique message for a single event date on a recurring event. This message displays on the admin and member portals.
Log in to the admin dashboard.
Expand the EVENTS panel on the side menu.
Click LIST. A new page displays.
Locate the multi-day event to update and click the ID number. A new table displays.
The table shows each day of the event as a row. Select a row and then click the pencil icon.
In the popup window, scroll down to the Display Message for the Schedulers heading, type in a message, and click Save.
Repeat the steps to display a message on a different day.
The admin and member portals display the same message on the same calendar day.
It's not possible to display different notes on the admin and member portals on the same day.
In the screenshot below, the system user added text (Rain expected) to the Note field. The admin calendar shows the message on all days except the one day with a message in the Display Message for the Schedulers field (Lunch at 11:45).
