INTRODUCTION
Feature Summary: Collect member digital signatures through email or directly on a front desk tablet.
Use Cases: In some situations, members may be unable to sign a waiver or membership agreement through the member portal. Club staff can offer alternative signing options—either by sending the document via email for mobile signing or by having the member complete it on a tablet at the front desk.

This article covers three ways to execute signature requests:
Send an email prompt from the admin Check-In page.
Copy the signature URL and send it to the member in a direct message or email.
Access the Signature Queue, open the member’s signing page, and have them sign the waiver or agreement on a front desk tablet.

Create a waiver or agreement and a signing rule.

OVERVIEW
Option 1: Check-In Page - Send Member an Email
Send an email prompt to the member directly from the CourtReserve Check-In page. The email includes a secure link to the digital signing page, allowing the member to sign electronically from their mobile device.
Steps:
Go to Schedulers > Expanded.
Locate the member’s reservation.
Click the Check-In icon — a new window will appear.
Find the member and click the red icon next to their name. A popup window will display.
In the popup window:
Check the Allow Signing from Email? box.
Confirm the email address (auto-filled by CourtReserve).
Ensure the Sign box is checked next to the relevant waiver or agreement.
Click Push to Signing Queue. At this time, the member will be sent the email.
6. Once pushed to the signing queue, the icon for the member displays as orange.
7. The member receives an email similar to the example shown below. Once the document is signed, the waiver icon is removed from the reservation. The completed waiver can then be viewed under the member’s profile on the Waivers tab.
Option 2: Copy the Waiver/Agreement Signature URL and Send to Member
System users can use this option when a member visits the front desk but does not have an active booking. In this case, staff can email or text the member a direct link to complete their digital signature.
Steps:
Go to Settings > Reservation Settings > click the Waivers & Agreements icon.
Open the Additional Settings tab.
Scroll to the Use this URL to Direct Players to the Signing Page section.
Click the Copy URL button.
To send the email, open the member’s profile page.
Click More Actions > Send Email.
Paste the copied URL into the email body and send it to the member.
The member receives an email containing the signature link. After opening the message on their mobile device, they tap the link, log in to their member portal account, and digitally sign the document.
Option 3 – Push Players to the Signing Queue and Collect Signatures via a Tablet
This option does not send an email message. Instead, the member signs the document in person at the front desk using a tablet.
Steps:
Locate the member’s name on a booking (e.g., a court reservation, lesson, or event).
If a red icon appears next to the member’s name, it indicates a signature is required. Click the red icon.
In the popup window:
Confirm the Allow Signing from Email? box is not checked.
Ensure the Sign box is checked.
Click Push to Signing Queue.
Alternative Method:
System users can also open the member’s profile page, navigate to the Waivers tab, and click Push to Signing Queue from there.
Front Desk Process
On the tablet, open the preloaded signing link generated from the Waivers & Agreements - Additional Settings page. The Signature Queue page will appear.
Locate the member’s name and click Sign and hand the table to the member.
The member taps the document link and provides their digital signature. Once completed, CourtReserve automatically removes the member’s name from the Signature Queue.
USER PERSPECTIVE
CourtReserve sends the member an email message with a link. The member taps the link and logs in to their member portal account.
The member follows the workflow, signs the document, and saves.
ADMIN PERSPECTIVE
After the system user sends an email request, the icon on the Check-In page changes to orange. After the member completes the signature request, CourtReserve removes the icon.
System users can view signed waivers on a member's profile page. Open a profile and click icon or select the Waivers tab.
CourtReserve displays a waiver icon at the top of the page. Hover the icon to see details.
Select the member’s Waivers tab to view the history of all signed waivers, including the date and time each was completed.
Click the View button to open a window with signing details, including the document version number. Optionally, click the Print button to print a hard copy.
