INTRODUCTION
Feature Summary: Apply default settings—such as membership pricing, fees, guest rules, and enabled features—to streamline the event creation process and save time.
Use Cases: Prevent costly errors by ensuring key settings like tax rates, fees, and guest permissions are properly configured. CourtReserve automatically applies your default settings to new events, but event creators can override them as needed.
Setting up event defaults won’t impact events that have already been created—defaults only apply to new events moving forward. You can still adjust the settings during event creation, but having defaults in place saves time when most of your events follow a similar setup.
SETUP REQUIREMENTS
Log in to the admin dashboard.
Click SETTINGS on the side menu.
Scroll down to the EVENT SETTINGS heading.
Click the Defaults icon. A new page displays.
Configuring settings

Click Save changes.
Options for Defaults
Is Featured - If checked, CourtReserve will automatically tag the event as "Featured" when it's created. If you do not want an event tagged as Featured by default, leave it unchecked. Example featured event shown here:
Allow Members To Register Till Event Ends - If checked, the registration window remains open until the event end time.
Max Registrants - Set the maximum number of registrants for an event.
Waitlist
Allow Waitlist - If not checked, there is no waitlist. If the box is checked, members can join a waitlist when the registrant list is full. If the Waitlist feature is enabled and an event spot opens up, CourtReserve uses one of two invitation systems (see below) to move a member/player from the waitlist to the registrant list. The enabled system depends on the Auto Register From Waitlist checkbox setting.
If Allow Waitlist is checked, but the Auto Register From Waitlist box is unchecked, CourtReserve uses Default Registrations—send notifications to all waitlisted members/players.
If both boxes are checked, CourtReserve uses Auto Registrations up to the cutoff point set by Prevent Auto Registrations X Hours Before Event (a hidden field unless the Auto Register From Waitlist box is checked). After that, CourtReserve goes back to the Default Registrations system.
Default Waitlist Registration - This is a first-come, first-served option. When a registered member/player withdraws from an event, CourtReserve sends a notification email (and possibly a text message if Text Alerts are enabled for this notification type) to all waitlisted members/players simultaneously. The first member/player who responds to the notification and registers gets the open spot.
Auto Registration - This is a first-in, first-out option. When an event spot becomes available, CourtReserve automatically registers the first name on the waitlist. The registered person is sent a notification but does not have to respond to be registered/confirmed.
Auto Register from Waitlist is only supported for single-date events at this time.
Allow Proration of Full Event Price - If the box is checked, CourtReserve prorates the full registration price if recurrences of this event have already passed.
Who gets notified on a new registration? - Click the field and choose who should receive notifications. Unless “Nobody” is selected, CourtReserve will automatically send a message whenever a member registers or cancels.
Prevent Member from Withdrawing from event within - Add a deadline (hours and minutes before the event starts) to withdraw without penalty.
Coordinators - Click the field to add one or more coordinators by default to any new event. Coordinators are sub-admins with permission to manage events on the platform. Click here to learn more about coordinators.
Require Minimum Participation for this Event to Occur - Minimum number of registrants required before event auto-canceled.
Advanced Settings
Configure advanced settings in the table at the bottom of the page for each membership type.
Is Public - If the box is checked, CourtReserve displays the event on the portal of the selected membership type.
Allow Online Registrations - If the box is checked, members can log into their CourtReserve account and register for the event.
Hide Pricing - If the box is checked, CourtReserve hides the word Free if an event is free.
Require Up-Front Payment - If enabled, members must pay the fee before they can complete event registration.
Require Payment Profile - If enabled, members must create and save a payment profile on their account to register for this event.
Requires Approval - If enabled, a system user must manually approve each registration. Registrants can be approved on the To-Do page on the Admin sidebar.
Drop-In and Full Registrations Starts Before Event - Decide when members/players can begin registering for this event. The options are Based on Event Start (use the drop-down menus to set the amount of time before the event start) or by a Specific Date/Time (use the calendar).
Show Registrants - If enabled, the member portal displays a Registrants tab. This tab allows members to see the name of the other event registrants.
