Manage Waiver Signatures Via Email and Front Desk

INTRODUCTION

Feature Summary: Customize settings that allow members to sign waivers or membership agreements either via email or in person at the organization’s front desk.

Use Cases: At times, a member may not have the opportunity to sign a waiver or membership agreement through the member portal — for example, when dropping in for a last-minute court booking. In these cases, system users can provide the member with other signing options: by email or directly on a tablet at the front desk. CourtReserve tracks all front desk and email signature requests (if enabled) through the Signature Queue page.


PREREQUISITES


SETUP REQUIREMENTS

  1. Navigate to Reservation or Event Settings > Waivers & Agreements icon.

  2. Open the Manage Waivers & Agreements page.

  3. Click the Additional Settings tab.

  4. On the new page, configure settings (see below).

  5. Click Save.


Configure the Settings

  • Send Waiver / Liability Reminder Link – When enabled, CourtReserve automatically emails members a reminder that includes a link to the waiver or membership agreement. System users can choose to send the default message or add their own custom text. This feature is disabled by default.

    • Additional Message to Add in Emails – An optional text field where system users can include a personalized message or specific instructions that will appear in the reminder email sent to members.

  • Allow Signing at Front Desk - Check this box to allow members to sign waivers and agreements at the front desk. If enabled, CourtReserve displays a new URL (Use this URL to Start Your Front Desk Waiver(s) / Agreement(s) Signing). Front desk staff can use this link to open a signature queue page (see below).

  • Default “Allow Sign from Email” to Checked when pushing to queue – Select this option to automatically enable the Allow Signing from Email? field on the Pending Signature screen. By default, this setting is disabled. Leave this box unchecked if you typically do not want to email the member at that time and prefer to have them sign only on the front desk tablet.

  • Use this URL to Direct Players to the Signing Page - System users can share this link with members. When a member opens the link and signs in to the member portal, the page prompts the member to sign the waiver or membership agreement.

  • Use this URL to Start Your Front Desk Waiver(s) / Agreement(s) Signing - System users can use this link to bring up the Signature Queue page. This can be handed to member(s) on a tablet at the front desk to complete their waiver.


Manage the Signature Queue

There are three ways to prompt member signings at the front desk:

  • Send an email directly from the admin Check-In page.

  • Copy the "Direct Players" signature URL and send it to the member via a direct message or email.

  • Open the Signature Queue using the URL and have the member(s) sign the waiver or agreement on a front desk tablet.
