Option #1 starts at the beginning of the video
Option #2 begins at the 2:45 mark of the video
Summary
We have two options available for adding fees to an event as a line item. These can be used for a number of different services such as design, travel, food & beverage or delivery & breakdown fees to name few.
Option #1 Flat Fee - A simple line item added to the orders section that states a flat fee.
Option #2 Percentage based calculated fee - This makes use of two recently released features called linked price on line items and and calculated properties as a custom property.
Note: Before performing the steps to do option two, please visit the Subscriptions page and confirm that you have access to both Custom Properties and Calculated Properties. Option two will not work without these two being in place on your account. Please feel free to reach out to us if you're interested in changing packages to obtain access!
Option #1 Line Item Flat Fee Instructions
For this option you can chose to create a line item product that can be reused. To do that, navigate over to the Catalog - Products page and create a new product. You only have to enter the Product name such as service fee and the flat price. Once completed, click the Save button.
Once this is in place you will now have a selectable product from the Orders screen of any event proposal!
Additionally, if you're using Order Templates, you may create a new template or edit a current one to add in the new line item fee. You're also allowed to have as many of these options as needed!
Option #2 Line Item Calculated Percentage Fee Instructions
Note: Before performing the steps to do option two, please visit the Subscriptions page and confirm that you have access to both Custom Properties and Calculated Properties. Creating the new Custom Property called Calculated Property and assigning it to a product line item
Navigate to Settings - Custom Properties.
Locate and Click Add custom property
Start by selecting Event for Property Type, Calculated Property for Field Type. Be sure to type out a rememberable name for the for the fee as it will referred throughout the rest of the process. You may disregard the other options and click the Create button.
This step is optional, but we recommend it to help speed up the process of reusing the new custom property as a line item. Just like in Option #1, navigate to the Catalog - Products page and create a new product. Fill in the name and instead of typing out a price, click into the price box and you will now see a new customer property option where you may select the name of the property we created in the last step. Select the correct calculated property name from the dropdown. Click save to continue to the next step.
Note: If you want to add a Category, do not select the same category of the items you wish to assign a fee to. This will cause a miscalculation with the percentages.
Adding your new line item to an event
Now that you the product line item for your fee ready, you can decide on the percentage and what categories to use it on. In the following example we're going to look at setting this up on a single event. It's possible to add the new product line item to any templates you may have, but the following event overview step will need to be completed on an event by event basis.
Click into an event to access the Event Overview page and click the pencil icon.
Go to the Orders section of the event and add the fee like you would add a product to a line item.
The Unit price will now automatically calculate percentage for you!
Final Notes
Your new line item fee can be added to any Order Templates you have or you may also create a new template to add in the new line item fee. Additionally if you have an event template, you may add it there as an alternative.
