Introduction

Dashpivot is a flexible project management software used to help organisations streamline their information management processes to deliver on time and on budget.

Teams can capture information and fill out forms quickly in the field using the Dashpivot app or website, and keep track of their work from anywhere. The software is cloud-based, can generate registers and charts, and setup automatic notifications to deliver information to the right people in realtime.

Step 1 - Setup your company logo

An important first step is to upload your company logo and set your company colour so that every PDF downloaded from Dashpivot looks professional.

Open the sidebar, then go to Home Folder > Settings

Step 2 - Setup your projects and team folders

At its foundation, Dashpivot has been designed for companies that work on projects, and most of the time, those projects delivered by people working in teams. Dashpivot enables your company to organise information into 'project' and 'team' folders, which each have their own sections for photos, templates and analytics.

Open the sidebar and click 'Add project' to create a project folder, with at least one team folder within it.

Step 3 - Setup your form templates and lists

Templates

Dashpivot's form templates allow you to replace your paper, PDF, word doc and excel/spreadsheet files. In order for your team to start filling out your forms (eg. diaries, reports, checklists, permits, prestarts, ITPs, method statements, etc), you'll need to first set these up as form templates.

  • To create company-wide templates:
    Go to your Home Folder > Template Library > Add template > Create and save the template and then deploy the template to the relevant project/team folders

  • To create folder-specific templates:
    Go to a team folder > Templates > Add template

Lists

Lists function like databases which help standardise the options you can select in dropdown menus (list fields) you setup in your templates. They have a one-to-many capability, which means you can setup a list once, and use it in multiple list fields in multiple templates.

This also means data is easier to maintain. For example if you have a list of people, when you add a new person into the list, every dropdown menu in every template in every folder will get updated instantly to include that person as a dropdown option.

Step 4 - Setup photo tags

If you take lots of photos, you'll want to setup photo tags so you can categorise your photos, to make them easier to search/filter and find later. This can be done via the Photos section.

Step 5 - Setup users

Once the above steps are completed, you're ready to add your colleagues so they can start using the Dashpivot to fill out or access information via the Dashpivot app and website.

You can invite others into the system via the Users section, where you have the option to pick the level of permissions you want to give someone when you invite them.

Step 6 - Setup analytics

Once you've setup your form templates and your teams start filling out forms, the analytics section can help you track whats happening in realtime, either per project or across the whole company. You can use it to track KPIs, labour hours, production quantities, and workflow form statuses.
