Learn how to use Sitemate Links to run your remote Toolbox talks

Single Submission Sitemate Links can provide anyone with access to submit a single form for one or more templates, via the Sitemate app without needing a Dashpivot account.

This works well for processes like Remote Toolbox Talks, where all company/project personnel can complete a toolbox meeting electronically via the free Sitemate app, and submit a record of the meeting into your Dashpivot account.

You'll end up with a register of all toolbox records in Dashpivot, automatically organised and easy to search/filter, so you can quickly see who has completed the toolbox.

In this scenario, none of the people filling out the toolbox talks are paid Dashpivot users. Instead, they will use the free Sitemate app to submit toolbox for free.

How to create a Single Submission Sitemate Link for Remote Toolbox Talks

  1. Go to the team folder where you want your toolbox records to be submitted

  2. Go to the Templates section

  3. Go to the Links tab

  4. Make sure you are in the 'Single Submission' section (this should be the default). If you are in the 'Ongoing Submission' section and create a link, every person who submits an toolbox will become a paid Sitemate Form User

  5. Click Create Link

  6. Give your link a name, and select your toolbox Template

  7. Click create

Note: if you don't have a toolbox template yet, you can use a free template available in the Public Template Library. For a remote toolbox talk, where the topic is pre-written (eg. by a safety manager), much of the information on the template will need to be prefilled text. This can be added via the template editor:

Once created, all you need to do is distribute the Sitemate Link to the relevant personnel, so they can fill out and submit the toolbox.

How do I get personnel to complete and submit the Toolbox?

You'll need to send your newly created link to the relevant people so they complete the toolbox. There's 2 options:

  • Copy the link and send it as a URL eg. via email or text message.

  • Downloaded a QR code poster, which opens the link when scanned with a smartphone. Stick this on the wall of your site or office.

When someone clicks on the link or scans the QR poster, the toolbox template will get added into their Sitemate app for them to submit.
