How to set up Approval Signature Logic

Learn how to apply logic to approval signatures

Using custom logic for approval signatures in your form templates helps you control which people on your team can sign-off forms at each stage of a workflow. This could be useful for meeting compliance requirements and ensuring that the right person signs the workflow form, based on their user type, or permission type.

This feature is available for customers on Dashpivot Pro and Enterprise plans only.

Note: Approval signature logic can only be applied to templates which are a workflow.

How to set up approval signature logic

  1. Create a workflow template

  2. Add an approval signature field to the template

  3. Click the 'Add logic' button which appears when you hover on the field

  4. An approval signature logic block will appear below the field, where you can define which user type or permission type can sign off or reset signatures.

The logic rules are very flexible, and allow you to apply several logic blocks to the same field.

When filling out a form, users with the incorrect user/permission type will not be able to sign the workflow form or reset the signature. Instead, they will see a warning message:

Note: All Sitemate users are permitted to sign off the first approval signature in the form irrespective of any approval signature logic set.

Setting up 'AND' conditional complementary logic

Conditional complementary logic allows you to configure the approval signature logic rules using the 'AND' operator. This allows multiple users, respective to different logic rules, to collectively sign off and/or reset approval signatures.

For example, Team Members AND Creator AND Contributors AND users with permission type greater than Organisation Member can sign off, but Team Controllers are restricted.

Notes:

  • Below are the limit of AND conditional logic blocks per approval signature;

    • 3 for Pro plans

    • 6 for Premium plans

    • 12 for Platinum plans

  • The 'AND' operator is only unlocked once the 4 fields in the approval signature logic rule are populated.

Setting up 'OR' conditional complementary logic

Conditional complementary logic allows you to configure the approval signature logic rules using the 'OR' operator. This enhancement allows for greater flexibility by enabling any one of multiple designated approvers to sign off on approval signatures. With this update, teams can streamline their approval processes, accommodating various approval structures and ensuring that critical actions can be taken promptly.

For example, Contributors AND either Team Members OR Project Members OR Organisation Members OR Creators can sign off, but Team Controllers are restricted.
