The Kit Inventory is where your investigational products and devices are traced through their whole life in the study: imported, moved between statuses, allocated, and eventually deleted or invalidated.
š Prerequisite: two permissions on your role, allocation access and kit inventory edit.
Import a kit list
š ļø Step by step guide
Go to RTSM, then Kit Inventory.
Download the template and fill it in, following the column formats below.
Click Import kit list.
Upload your
.csvor.xlsxfile.The system validates every row before creating anything.
Column | Format | Required |
Kit number | String | Yes |
Location | String | Yes. The center abbreviation. |
Kit type ID | Integer | Yes |
Batch | String | No |
Expiration date |
| No |
Status | String | One of |
ā ļø Warning: validation is all or nothing. A valid file creates every kit; an invalid file is rejected in full, with the errors listed. One bad row means no kits are imported, so check the column formats before you upload rather than after.
š” Tip: kits are allocated in the order they were imported, and a later import joins the end of the queue. If a particular batch needs to go out first, import it first.
Dummy list and production list
A study in Draft uses a dummy list. At go-live the system switches automatically to the production list. The dummy data stays in the database but becomes inactive.
š” Tip: this is why test kits appear to vanish at go-live. They have not been deleted, they are simply no longer the active list. Upload both the dummy and the production list before go-live so neither has to be found in a hurry on the day.
Delete kits
Only kits with the status Available can be deleted.
š ļø Step by step guide
Go to RTSM, then Kit Inventory.
Select the kits you want to remove. You can select several and delete them together.
Click Delete and confirm.
Statuses and allowed transitions
