Kit Inventory Management

What is kit inventory?

The Kit Inventory ensures traceability and lifecycle management of investigational products or devices within the study.

⚠️ Important - You need the following permissions to maangement kit inventory:

  • Allocation access

  • Kit inventory edit


Importing a kit list

Step 1 - Go to RTSM → Kit Inventory.

Step 2 - Download template

Fill in the file

Formatting reminder ⚠️

Before saving your import file:

  • Kit number: string, required

  • Location: string, required

  • Kit type ID: integer, required

  • Batch: optional

  • Expiration date: YYYY-MM-DD, optional

  • Status: one of In transfer, Received, Invalid, Available, Allocated

Step 3 - Import kit list

  1. Click Import kit list.

  2. Upload a .csv or .xlsx file.

  3. The system validates all rows:

    • Valid file → all kits created.

    • Invalid file → full rejection with error details.

💡 Tip: Kits are allocated in import order. Re-imports add kits to the end of the queue.


Draft vs Live list

  • Draft studies: Use dummy list

  • Go-live: System automatically switches to production list

  • Dummy data stays in database but is inactive

💡 This explains why test kits seem to “disappear” after go-live.


Deleting kits

Only Available kits can be deleted.

  1. Go to RTSM → Kit Inventory.

  2. Select kits → Delete.

  3. Confirm.

💡 Tip: You can also bulk delete


Managing kit statuses

Supported statuses:

  • In transfer

  • Received

  • Available

  • Allocated

  • Invalid

Allowed transitions:
In transfer → Received / Invalid
Received → Available / In transfer
Available → In transfer / Invalid / Allocated
Allocated → Invalid
