This article will show you how view patient details, and then break down each section of information that is in their chart:


How to open a patient's chart

For patients in any of the follow-up buckets on the Automations page, click a name to see the options you can take, and click "Details":

You can also get there by searching for a patient in the search bar and when you click their name, you will open their Details page:

When you do an advanced patient search, you'll see three dots next to each name - click "Details" or "Messaging" to open their chart:

Most of this information is a mirror of the information you have in your practice management system, and it looks like this when you open it:

Patient Details

Across from the patient's name, you'll see the office location a patient is assigned to, the follow-up type they're in (if applicable), and their current treatment status.

Patient Contact Info / Responsible Party

If a patient is a minor, a responsible party is required in order for you or me to be able to contact them.

Primary toggle: in some cases, a patient may have more than one responsible party - you can choose the primary contact with this toggle.

Messaging will take you to the patient's message modal - you can view their message history, send direct messages, or manually put them in follow up from there.

Ava Settings

Language: You can change the default language of any automated messages that I send - English or Spanish (default is English).

Team Member: When you put a patient in follow up, they will automatically be assigned to you - you can reassign them to someone else on the drop-down list.

Payment Options Slider (Case Presentation)

This is where you can create, view, or edit any payment plans a patient is set up on.

For more info on this, see Case Presentation Settings and Management. You can create a new payment plan by clicking "Create New":

Once a new Case has been created and accepted, you can edit the details by clicking on the gear icon:

Appointments

This is where you will see the patient's appointment history and any future appointments.

If you use my appointment reminders, you'll see a red "Stop Reminders" next to future appointments to give you more control over individual communication.

You can view the date/time each appointment is scheduled for, the appointment type, and the appointment status (I update this to reflect your PMs).

I run an update every night, scanning your system for any updates or changes so my desk is always current!

If you want to update or edit any patient information here, you will need to make those changes in your PMs and you'll see it reflected in my desk the next morning!
