How to import new users on Dokeos LMS

In the tutorial “Administration: Users > Import users”, you learned the outlines of importing users with Dokeos LMS (creator off e-learning solutions that supports companies, training providers and multinationals in their online training projects). 

Here we'll explain how to download, complete and upload your .xlsx file to import your users. 

NOTE: access to the administration is only possible for the ADMINISTRATORS of the portal.

A. Download the .xlsx template file

Click on "Download template" 

The template is then saved on your computer

Note: the export is done in format .xlsx

B. Complete the .xlsx file

Open the file by clicking on the download bar or in the folder where the file was saved (usually in "Downloads")

Here is the type of table which opens in Excel. What can change in this table are the custom fields and the filters, i.e. the 4 columns after “Address” and the columns next to “Expiration Date”.

(Here, we have 3 filters, they are “Position”, “Company name” and “Department”) 

To complete the table:
(note: 1 user = 1 line)

 1. Enter the email address of the user WITHOUT capital letters (if there is no email address, enter the LOGIN in column nº5 ;
2. Enter the first name of the user;
3. Enter the last name of the user;
4. Enter the role of the user (you choose the role of trainer or administrator, the role of     learner will automatically be active because it is the basic role);
5. Enter the login of the user, it must be composed of numbers AND letters. NOT only numbers, and NO special characters of the type "@", etc. The character "-" can in turn be used.

/! \ Login and passwords cannot be the result of a formula in Excel but they must be in text mode. If they are the result of a formula, the file must first be passed in CSV (to erase all formulas and elements that are not text) then save it in XLSX before importing it.

PS: If using an email address, the login should not be filled because the user will use his email address to connect; 

6. Enter the password of the user that will change hereafter (if using the login: obligation to put a password that you provide to the user);
7. If the user should be registered in a group: Enter the group ID, without the "#"
    (group created beforehand by the administrator); If there are several groups for the same person, you can separate them with a ";" without space ;

8. Enter the language of the user (English = en, French = fr, etc.)
9. Enter, if you wish, the Date of birth of your user;
10. Enter, if you wish, the mailing address of your user;
11. Fill the custom fields (the column headings will be changed once the administrator has created custom fields. If he has not created, you must not put anything in these columns);
12. Enter, if you wish, the expiration date of the user account (format: YYYY-MM-DD = year-month-day). This is a date in the FUTURE;
13. Complete the filters. Here, it is "Department" but it could be another such as "Country", etc. (To complete the labels for the filters, make sure you use the SAME spelling as when creating filters).  In addition, you can select multiple labels for the same filter by separating with a semicolon (;).

C. Import the .xlsx file

Once your document is completed and saved (in the format .xlsx), click on "Select a file to import" and then on "Import"

NOTE: If you do an import of existing accounts, the system will recognize the login (or the email if the login is not filled in) to edit the information of the users of the document
