MDM Assets Assigned to Employees but Missing from Dots Inventory

Learn why assets assigned in your MDM may not appear in Dots and how to import and sync them correctly.

Overview

You may see a notification indicating that:

Assets are assigned in your MDM but could not be matched in Dots because they don’t exist in your inventory.

This means you have devices exist and are assigned to employees in your MDM, but they have not been imported into Dots.

Dots can only assign assets that already exist in your inventory.


What Does This Mean?

These assets:

  • Exist in your MDM

  • Are already assigned to employees in your MDM

  • Do not exist in Dots

Because the asset record is missing in Dots, the system cannot complete the assignment.

In this view, Dots displays:

Assets detected in your MDM that are not yet available in your Dots inventory.


Why This Happens?

This usually occurs for one of the following reasons:

1. The Asset Has Not Been Imported from the MDM

Some customers configure their integration to:

  • Sync assignments only

  • Avoid automatically importing all MDM devices into Dots

In this setup, devices will appear in the MDM but will not automatically be created in Dots.


2. The Asset Was Deleted from Dots

The device previously existed in Dots but was:

  • Manually deleted

  • Removed from inventory

It still exists in the MDM and remains assigned there.


3. Serial Number or Unique Identifier Mismatch

Dots matches MDM devices using a unique identifier (usually the serial number).

If:

  • The serial number differs between systems

  • The serial number was manually edited

  • The device record in Dots uses a different identifier

The systems will not match the asset.


How to Resolve This Issue

To complete the assignment, the asset must first exist in Dots.

Step 1: Import or Sync the Asset into Dots

You can do this in one of the following ways:

Option A: Import via MDM Integration

Trigger a full device sync from your MDM integration settings to import the missing devices.

Option B: Upload Manually

If needed, manually create the asset in Dots using:

  • The correct serial number

  • The same unique identifier used in your MDM

⚠️ The serial number must match exactly for automatic assignment to work.


Step 2: Verify the Serial Number

Before retrying assignment, confirm:

  • The serial number in Dots matches the MDM exactly

  • No extra spaces or typos exist

  • The correct device is being referenced


Step 3: Re-Sync the Integration

After the asset exists in Dots:

  • Trigger a manual sync (if available), or

  • Wait for the next automatic sync cycle

Dots will then:

  • Detect the device

  • Match it using the serial number

  • Apply the assignment based on the MDM data


Best Practice

To prevent this issue:

  • Enable automatic device import (if operationally appropriate)

  • Avoid manually editing serial numbers

  • Regularly review MDM integration settings

  • Ensure your sync configuration aligns with your inventory strategy
