Setting up events for Sport Experiences

Multiple Lanes, managing capacity, and more!

Example

You offer axe throwing at your location with 4 axe lanes.

Each lane can accommodate one group, anywhere from 1-4 people.

You want the customer to book their party for one lane, and up to 4 lanes can be in operation at any time.

Setup Guidance

1. Create one event, set your attendee max to 1: this allows you to take one party per lane at a time.


(A) Have one Shopify product for this experience, with variants for the guest count. This lets you change price based on variant and keep your bookings private for one party per booking.

NOTE: Remove Track Quantity on each of these as quantity is managed within the app. Click on each variant and uncheck Track Quantity.

(B) Create your event in the app, assigning this to all 4 variants.

2. Make each lane its own availability: customers book with a scheduled resource, which should be one availability per resource. Ex. Lane 1 to 4

(A) Click on the Availability tab, Create New Availability, until you have 4


(B) Assign all lanes to this event. Click on Edit Event > Availability > Add or Remove Availability. This lets you assign all 4 lanes to this one event.

(C) Since each lane can be accommodated when they are available, go to Edit Event > Availability > Availability Options. Select "Automatically pick an available one" and Update.


3. Now preview your event. The customer can select their attendees up front, Select a Time, and checkout. This books the first lane available automatically.

4. When a booking is made in the app, the associated payment helps you identify the group size.

Caveats

  1. Customers will be unable to see the capacity remaining. This is because we need to use the variant to govern the guest count and keep the attendee max at 1 (which means each timeslot can take one booking).

  2. There is no resource optimization, we find the next available lane but there isn't a way to optimize (ie. if Lane 1 is already used at 1-2pm, the app does not optimize and make Lane 1 the first preferred availability to select at 2pm. It's any lane available at 2pm which will be selected, at random).
