Automatic Refunds for Cancelled Bookings

Choose whether cancelling a paid booking should automatically refund its Shopify order

Automatic refunds let Easy Appointment Booking ask Shopify to refund a paid booking when it is cancelled. The refund is processed by Shopify and returned to the customer's original payment method.

Enable automatic refunds

  1. In Easy Appointment Booking, open Settings.

  2. Go to General > Shopify Workflow.

  3. Turn on Automatically refund the Shopify Order.

  4. Save your settings.

Once enabled, an eligible cancellation automatically triggers a refund on the linked Shopify order.

Refund one booking while leaving the setting off

If you want to decide case by case:

  1. Open Bookings and select the booking.

  2. Click Cancel.

  3. Select Refund the customer in the cancellation dialog.

  4. Confirm the cancellation.

If you leave the refund option unchecked, the booking is cancelled but the Shopify order is not refunded. You can handle the refund later from Shopify Admin.

How much is refunded

The app does not calculate the refund itself. It asks Shopify what the refund for those line items is worth, and sends back that amount. This is the same figure Shopify shows you in its own refund dialog, so the app and your Shopify reports always agree.

The amount includes:

  • Tax. The customer gets back the tax they paid, not only the item price.

  • Discounts. Any discount applied to the booking is already accounted for.

  • The original payment split. An order paid part by gift card and part by card is returned across both.

  • The currency the customer paid in.

💡 Tip: If you take deposits, the refund is capped at the deposit the customer actually paid, and the tax on that deposit is included.

What happens after a refund

  • Shopify returns the funds to the original payment method.

  • The refund appears on the linked Shopify order.

  • A note is added to the order recording the booking cancellation.

  • The booking remains in the app's cancelled history.

  • An Order refunded row is added to the booking timeline.

When Shopify rejects a refund

A refund can fail after the booking is cancelled — for example, the order is too old to refund, the payment gateway declines, or the funds were already returned by hand in Shopify.

When that happens, the booking timeline shows a Refund failed row marked for attention, with the note Refund this order in Shopify. The booking is still cancelled; only the money did not move.

⚠️ Warning: A Refund failed row means the customer is still owed the money. Open the order in Shopify Admin and refund it there.

⚠️ Warning: Automatic refunds apply to every cancellation, including accidental cancellations and customer-initiated cancellations when self-service is enabled. Review your cancellation policy before turning this on.
