Easy Appointment Booking lets you sync your appointments and bookings with Microsoft Outlook Calendar. This tutorial shows you how to set it up.
If you have used our Google Calendar integration, the Outlook Calendar integration is very similar to it!
Connect your Outlook Calendar
Customers on our Pro Plus Plan are able to connect to their Outlook Calendar from the Settings tab.
Open the Easy Appointment Booking app from Shopify Admin Dashboard.
Go to the Settings tab.
Scroll to the Outlook Calendar section and press Connect.
Authorize the app with your Outlook Account.
You will be redirected back to Easy Appointment Booking and the app will now be connected to your Outlook Calendar.
Choosing an Outlook Calendar to sync bookings to
Once your Outlook Calendar is setup, it will sync all new bookings to your default calendar. This is the calendar that shows up when you visit www.outlook.com.
You can change the calendar that bookings are synced to on the Availability tab.
Go to the Availability tab in Easy Appointment Booking.
Click on an availability that you want to edit.
Scroll down to the Outlook Calendar Sync section.
Update the calendar that the availability is pushing bookings to.
Click Save.
If you have multiple team members, each with their own Outlook Calendar, you can set it up in the following way:
Ask each team member to share their Outlook Calendar with your primary Outlook Account.
Connect the primary Outlook account with Easy Appointment Booking.
Go to the Availability tab, and connect each team member's Outlook calendar with their own availability
Outlook Calendar Sync Features
If you connect Outlook Calendar with Easy Appointment Booking, the following features will be enabled:
All new bookings will be pushed to Outlook Calendar
Any time a booking is rescheduled, it will be updated in your Outlook Calendar
Any time a booking is deleted, it will be updated in your Outlook Calendar
Any time you update a booking (ex: updating location, description), it will be updated in Outlook Calendar.
Customize the title of the Outlook Calendar event when it gets created.
Assign specific calendars to each team member to make sure their bookings are accurately represented.
One-way Sync!
Please note that the sync only works one-way. If you update something in Outlook Calendar, it will not automatically update in Easy Appointment Booking!
Disconnect your Outlook Calendar
To disconnect your Outlook Calendar with Easy Appointment Booking, head to the Settings tab and press the Disconnect button beside Outlook Calendar. Doing this will prevent further bookings from getting synced with your Outlook Calendar.
I'm facing trouble connecting my account, what do I do?
If your account is unsuccessful in connecting, you'll see a red message like the one below
This may be unsuccessful because
1. The Microsoft account you're trying to connect is not supported with Outlook
2. The Outlook version you have does not sync with Exchange public folders.
3. Non-web-based versions of Outlook.
4. Syncs between Easy Appointment Booking and Office 365 plans without an online calendar.
To fix Outlook Connection Issues, please try the following:
1. Check your Outlook version
Check which version of Outlook you’re using and confirm you’re using the corresponding option in Easy Appointment Booking:
If you can log in at this link, you're using Outlook.com.
If you can log in at this link, you're using Office 365.
If you log into your email through a browser, but can’t log in at either of those links, ask your email provider or IT department to confirm.
If none of those apply, you likely aren't using web-based Outlook
2. Confirm your Outlook email address and password
If you’ve identified your version of Outlook, but your sync still isn’t working, verify the Outlook email address and password you’re trying to use. If you can’t log in, contact Microsoft support for help recovering your email address or resetting your password.
