Navigation Bar
On the left hand side of your screen, you'll see several options in the navigation bar. Click on Calendar to access the Class Calendar feature where you can schedule your classes, add lessons, and manage events. You can also access Student Groups to create and manage student group profiles, which you'll need for your calendar.
Calendar Set Up
If you click into the feature and it says, “Calendar not yet set up”, this means that your school admin have not yet finished the setup on their side. They will need to complete this step before you are able to do any actions in the calendar. Please contact them if you have any questions.
If you click in and it says, “No Classes or Events this week”, your admin have completed setup and you can start using your calendar.
Calendar Views
You will have many options on how to view your calendar. The system is set to automatically enter you into the week view when you click into your calendar. You can always change the view by clicking the drop down. You can view as day, week, month, include weekends, and even show times in your view if desired.
Important Distinctions
You will notice that we make a clear distinction between your course and your class. Classes are a scheduled group of students that you teach on a regular basis for a set period of time. This includes both the students that come together and the course. The course is however, fundamentally separate. The calendar was built to reflect this.
Schedule Type
You now have the option to set up a weekly schedule, or use A/B Class Rotation/Cycle Schedule.
To make a change, click into the calendar. The first time you click in, a box will pop up in which you can choose your schedule type. If you've clicked in before, you can find these options by clicking the 3 dots in the upper right hand corner of the screen.
Select either Weekly, or A/B class. Please note, if you start to set up your classes one way and then want to change your schedule type, it will wipe out all of the information you have entered in so please make sure you don't start setting up classes until you have selected the correct schedule type.
Selecting the A/B Class will allow you to pick how many rotations/cycles you use, and then naming each one. It automatically defaults to 5, but you can remove or add if necessary. Once you have the rotations complete, click Save.
If you use a weekly schedule, just select it and then click Save.
You are now ready to set up your class schedules.
Creating A Class Schedule
Before creating a class, you can set up at least one Student Group (recommended, but not required). You can create one at the same time as your class schedule, or set one up in advance under the Student Group area on the left hand navigation bar. The Student Groups section later in this article offers a full walkthrough.
To get started, click Create (top right or center of screen) and select Class Schedule. Then fill in the following:
Class Name – Give your class a name.
Student Group – Select one or more existing groups, or create a new one.
Course – Choose the course you'll be teaching from the dropdown.
Next, you will select the course that you will be teaching in this class from a drop down menu.
Auto-Populate Lessons This is on by default. When enabled, the system automatically maps lessons to your calendar starting from whichever lesson you select, through the end of your instructional period.
If toggled on, select a Starting Lesson. Lessons appear in the order set in your Course Hub — if the order is off, adjust it there first by dragging and dropping units and lessons. If you don't have enough lessons to fill the full instructional period, class blocks will still be generated for those remaining days and you can add lessons manually.
If toggled off, class blocks are still created on your calendar, but you'll add lessons manually.
⚠️ Auto-populate is only available at initial setup. After creation, you will need to add lessons manually and will have the option to move and adjust lessons.
Under Days and time, select your First Day of Class. Based on your schedule type:
For Weekly schedule: Choose which days of the week the class meets and the start/end time. Different days can have different times if needed.
For A/B Class schedule: Choose which rotation(s) the class meets and the start/end time. Different rotations can have different times if needed.
Once everything looks right, click Create. If you selected auto-populate, your lessons will map to the schedule automatically; if not, your class blocks will be ready for you to add lessons manually. Either way, any holidays or no-school days set by your admin will be skipped.
Any days without a lesson assigned will show a + Add Lesson option. You can create a new lesson from the calendar (it syncs to your Course Hub), or choose from existing lessons. When selecting existing lessons, you can add one or multiple—multiple selections will automatically distribute across consecutive empty days, one per day, similar to auto-populate. You can also build lessons in the Course Hub first and add them later.
⚠️ A note on syncing: Lessons only sync to your Course Hub at the moment they are created from the calendar — edits made after that point do not sync in either direction. Calendar edits stay on the calendar; Course Hub edits stay in the Course Hub. To apply a Course Hub edit to your calendar, use Replace Lesson (see below for more details).
Adjusting A Class Schedule
Hover over any day and you will see the 3 buttons in the top right corner which are the action options. Click on those. Here you will be able to: Add Notes, Edit Lesson, Replace Lesson, Remove Lesson, Share Lesson, Cancel This Date’s Class, Bump Lessons Forward, Shift Lessons Back, or Edit the Class Schedule.
⚠️ A note on syncing: Lessons only sync to your Course Hub at the moment they are created from the calendar — if you choose to do any of these actions inside the calendar, it will not sync with the Course Hub. It will just replace what is happening on this exact date. This allows you to make edits on the fly without affecting the course itself. If you want to update the course itself, make any lesson edits in the Course Hub first, then use Replace Lesson on the calendar to apply the update there.
Remove Lesson: this will free up the space so that you can create a new lesson on that day or choose from an existing lesson in your Course Hub. It will neither delete it from the Course Hub, or remove the class from that day.
Cancel This Date’s Class: if your class gets canceled for the day, you can cancel the class, and then bump the lesson forward to reflect appropriately.
Bump Lessons Forward: if a lesson takes longer to teach than a day, you can bump lessons forward by one day or multiple days, and all the lessons will shift in your schedule. This will create space in that class on that day for you to select the lesson that you will be teaching. You can then edit the activities to reflect appropriately. This will give you a true reflection of what happened, or what will happen, with your class.
Shift Lessons Back: you can shift lessons back by one day or multiple days in your schedule to move lessons earlier if needed.
Edit Class Schedule: allows you to make a change to the class as a whole. You will be able to change the times and days the class happens. You can even delete the class. Important note - deleting the class is not a reversible action. Any edits or notes that you created in this class on the calendar will be lost. The course itself will be maintained.
Scheduling Events
You will be able to choose to schedule a One-Time Event or a Recurring Event. For both, you will need to give your event a name, select day(s), time, and choose a color for this event. Then click Save.
Examples of One-Time Events: class party, conferences, etc.
Examples of Recurring Events: planning period, lunch, etc.
Notes can be added at the time of creation that will apply to every instance of the event. After creation of recurring events, you can edit the event, and add date specific notes.
All events can be edited or canceled as needed by clicking on the 3 dot action items in the top right hand corner.
Student Groups
Student groups are a general profile of the students in your class. Once created, they can be used again across multiple classes. This is the beginning of Edusfere starting to incorporate real, contextual data about your unique instances of teaching that you do every day. We plan to incorporate that vital context into the tools and suggestions we build on Edusfere. You can create as many student groups as needed.
You can set up a Student Group by clicking on the left hand side of your screen, or, you can set it up while setting up your class calendar.
The information you will need is
Name for the group
Grade(s) of students in the group
Instructional period(s) you will teach this student group
Class size
Optional options - add age ranges and special student population (ie. ELLs or IEPs).
You will assign a color to the group and the calendar will reflect that color when that student group is assigned to a class.
