Short answers to some common questions

Written by Heather Schultz

Where do I start?

  • The first thing to do is to get a course name set up. You can add as little or as much detail in that course as desired.

  • Next, you'll want to set up a unit. Edusfere was designed to be an interface with a lot of flexibility, so it's up to you how you want to build it out. Some teachers choose to build out one course at a time, others choose to build out all of their units, and others choose to get a shell into the system and work on their lessons and activities.

  • However you plan best, Edusfere is meant to help you do it! Please feel free to reach out to our team if you have specific questions! We're always happy to help!

I have lessons that I created before Edusfere. Do I have to enter everything again?

  • No. You can import your existing lessons and units with our AI-assisted import instead of entering everything from scratch. We hate redundant work as much as you do!

  • You'll find the Import button in the top-right corner once you click + Add.

  • You can import from a variety of formats, including:

    • PDF, Word (DOCX), and PowerPoint (PPTX) files

    • Images, including a photo of your handwritten lesson plans

    • Files from Google Drive

    • Text copied and pasted directly into the import

  • For additional information, you can view our Getting Started with Edusfere as a Teacher guide or Teacher How To: Add Lessons in our Help Center.

Can I import more than one lesson at a time?

  • Not at this time. Lessons and units are imported one at a time so you can review what was generated and make any changes before moving on to the next one.

How do I rearrange the units or activities in my course?

  • To move a unit: Open the course and hover over the left side of the unit card you want to move. A set of stacked dots will appear in the top-left corner of the card. Click and drag the stacked dots to move the unit to its new spot.

  • To move an activity: Open the lesson, then click and drag the activity card to its new spot.

Do courses I created in Edusfere remain private?

  • Admins are able to view and manage all content within their school's account.

  • If you own a course and haven't shared it with others (View or Edit access), it stays private to you and your school's Admin.

  • Once a course is shared, any changes made to it are visible to everyone who has access.

What if multiple teachers teach the same course? Should we Share the course or Duplicate it?

  • Edusfere is meant to be versatile, so there are a few ways to set up a course for a team. Pick the option that works best for you:

    • Duplicate a course (each teacher gets their own copy): The course Owner or your school's Admin duplicates the course, and the Admin assigns each copy to a teacher using Switch Owner in the Admin Curriculum Hub. Each teacher then works in their own copy independently, and changes in one copy don't affect the others.

    • Share it (plan together): The course Owner shares the course with the other teachers with Edit access. Everyone works in the same course and can see and edit all of its content. To keep track of who built what, teachers can add their name or initials to the titles of their units or lessons.

    • Not sure which to choose? Share a course when teachers want to plan together, and duplicate it when each teacher wants their own version.

What's the difference between View access and Edit access in a course?

  • When a course is shared with you, it appears under Shared Courses, and the course Owner or your school's Admin chooses which level of access you have.

    • Edit access: you can make changes at every level of the course (units, lessons, and activities). Your changes appear for everyone who has access to the course.

    • View access: you can see all of the course's content, but you can't edit the course itself. You can make minor adaptations at the activity level, and those changes appear only on your own portal. Teachers with View access also can't create share links for lessons in the course.

What if I want to share a lesson plan with someone?

  • There is an option to share your lessons with a public share link. Teachers often use this feature when a substitute teacher will be filling in for them.

  • If you are the course Owner or have Edit access, open the lesson you want to share.

  • A Share Link button is located in the top-right corner.

  • This will create a link that you can give to anyone.

  • Please note: Your share link stays up to date. Any edits you make to the lesson will show automatically, so you don't need to create a new link.

  • You can also share a lesson from a specific day on your calendar. For details, including which link to use if you edit lessons on your calendar, see our help article Teacher How To: Share a Lesson.

How do I attach materials to my lesson?

  • Materials are attached at the activity level.

  • New activity: Open the lesson and click Edit. As you create the activity, you'll have the option to add materials.

  • Existing activity: Click the ⋯ (three dots) in the upper-right corner of the activity and select Edit Info. Then click +Add beneath the Instructions field to add materials.

  • For step-by-step instructions, see our help article Teacher How To: Add Materials.

Can I add images, photos, links, or videos to a lesson?

  • Yes!

  • Images and photos: drag and drop an image or photo into an activity's step-by-step instructions, or use the insert image option in the toolbar.

  • Links, videos, and files: add them to an activity's materials. For steps, see Teacher How To: Add Materials.

  • You can also add links at the unit level (for example, to a video or to photos of a finished project).

Will the files and links I add stay with my lessons next year?

  • Anything you add in your Course Hub stays with the course, so it will be there each year. Anything you add on the calendar stays on that calendar day only.

  • For materials you'll use year after year, add them in your Course Hub.

How do I attach standards to my lesson?

  • Standards need to be added at each level, so you will first need to select all of the standards for the course, then the unit, and then you will find the option at the lesson level. Please see our detailed video walkthrough called Guide to Applying Standards in Courses, Units, and Lesson Plans in the Help Center for additional information.

  • You can add standards from more than one standard set. If the set you need isn't available, ask your school's Admin to add it.

Why did a learning objective change in my earlier lessons when I edited it?

  • Learning objectives are shared within a unit. When you select an existing objective from the dropdown, each lesson that uses it shares that same objective, so editing it changes it everywhere it's used.

  • To make a version for one lesson only, create a new objective, copy and paste the text from the existing one, and then edit it.

Why don't the objectives I wrote in my unit show up when I add objectives to a lesson?

  • Only objectives in the unit's Learning Objectives section appear in the lesson's dropdown. Text in other unit fields, such as Key Ideas, won't appear there.

  • You can add learning objectives to a unit whether or not you've added standards. (Standards need to be added to the course first; learning objectives don't.)

Can I copy a lesson from one teacher's course to another?

  • Lessons can't be copied into a course owned by another teacher. As a workaround, the teacher who created the lesson can print it to PDF, and the other teacher can import it into their course. For step-by-step instructions, see our help article Teacher How To: Add Lessons.

Is there a calendar feature?

  • We just rolled out our calendar feature for all schools. We are in an open beta test. Please see your Admin if you're not able to access the calendar feature and they can reach out to us if needed. You will also find additional information in Class Calendar for Teachers - Beta.

In the calendar, what if I want to make a change to my lesson?

  • If you want to make a change to the lesson that will only affect that day's lesson and don't want it to affect the course permanently, you can make that change inside the calendar. Find the day and select the three dots. Select the type of change you want to make and make any changes necessary. Please note, any changes made on the calendar side only affect that day's lesson and not the course as a whole.

  • If you want a change to a scheduled lesson to apply at the course level, make it in your Course Hub. Go into the course, find the unit and lesson, make the necessary changes, and then come back to the calendar. Select the three dots on that day's lesson, and select Replace Lesson. This will override the lesson in the calendar to reflect the updates.

  • We are building an update that will allow you to sync your changes back and forth. More information on that will be coming in the future.

  • For more details on this question, please see Class Calendar for Teachers - Beta.

What if I don't want to sync all of my lessons when adding a class?

  • You have the option to toggle off the Auto-Populate Lessons option when adding a class to your calendar. For more information on this, please see Class Calendar for Teachers - Beta.

In the calendar, what if I don't have all of my lessons planned out yet?

  • You can still get your class set up. The system will create a card on your calendar during the class time. Instead of including lesson information, it will have an option on the card to add a lesson.

Can I add two lessons to the same class day?

  • Not yet. Each lesson is treated as one day of instruction, which is how Auto-Populate places lessons on your calendar. The option to add more than one lesson to a class day is in the works.

  • In the meantime, you can use Add Notes on that day to note which lesson you plan to start next.

  • If you mean scheduling more than one class on the same day, you can create as many class schedules as you need, as long as their times don't overlap.

What if I want to put information in my calendar about my planning periods?

  • You can set up a recurring event for your planning period. You have the ability to add date-specific notes to certain days, so you will be able to include notes for your planning periods. For information on how to set up a recurring event, see Teacher How To: Schedule Events.

Can I print my calendar?

  • Not at this time. Printing from the calendar is a requested feature our team is working on.

  • You can print individual lessons (see Teacher How To: Print a Lesson) or send a substitute the lesson's share link.

How can I see an overview of my course?

  • To see your course's progression: on your dashboard, click the arrow next to a course name to see all of its units, then click the arrow next to a unit to see its lessons.

  • To see your lessons by date: open your calendar and use the View dropdown to switch between Week and Month view. See our article Teacher How To: Change Your Calendar View.

Is there an Edusfere app? Can I use Edusfere on an iPad?

  • Edusfere is web-based and doesn't have an app yet, but one is planned. You can use Edusfere in your tablet's or computer's web browser.

  • Some features, such as printing, may not work the same way on an iPad as on a computer. If printing from your iPad doesn't work, try a computer, or open the lesson's share link and print from there.

Does Edusfere support multiple languages?

  • Right now the user interface of Edusfere is only available in English, but content can be input in most languages. We plan to expand language support as we grow.
