Nmbrs

This article explains what Nmbrs is and what the integration does.

Updated yesterday

The integration between Eitje and Nmbrs does the following:

  • Synchronise the personal data and contracts of your team members from Nmbrs to Eitje.

  • Export the worked hours/days, meals and allowances from Eitje to Nmbrs.

Activate integration

To activate the integration you start in Eitje. At the top, click on 'Data' > Integrations. Then click 'Add' under Nmbrs.

You will be redirected to Nmbrs where you have to login to activate the integration. Here you have to fill out the domain, your email and password (you can get this information from Nmbrs, Eitje does not have these data). If you experience issues with this step, please check this article on how to solve it.

πŸ’‘ Tip: In the top right corner under 'Notifications' you receive messages about the integration with Nmbrs. Read more about notifications here.

Set up integration

After this you will be redirected to Eitje. Now you have to finish setting up the integration.

Click the three dots in your Nmbrs integration and choose 'Configure'.

  1. Under 'Venues' you indicate which Nmbrs venue(s) you want to link to your venue(s) in Eitje.

  2. If you want to export allowances, meals, leave- or sick hours, you'll first have to link these to the right wage and hour codes from Nmbrs.

  3. Indicate the startday of your salary period. Does your salary period run from the 25th of October till the 24rd of November? You should enter 25 in this field. This is important for exporting hours to Nmbrs.

4. If you want team members to be automatically de-activated in Eitje as soon as they are also de-activated in Nmbrs, you can enable this toggle. If you do not enable this, it is important to also seperately mark team members as off-duty in Eitje. You can find more information about this step here.

Sync team members

After activating and setting up the integration, your team members will be synced. You will find them on the teampage in Eitje. You might need to refresh the page before you can see the team members.

We automatically sync your team members every day at 22:00.

Do you want to sync at a different moment, then you can do this manually on the team page. Click on 'Tools' in the upper right corner and then on the 'Sync Loket' button. You can also go to the integration page (Data > Integrations), where you need to click on the three little dots and then on 'Sync team members'.

We import team members into Eitje if an active employment and email address are known in Nmbrs. We then match these team members to the team members in Eitje based on BSN, email or Nmbrs ID.

⚠️ Note: Is there a team members that appears twice in Eitje? This probably means that the team member used a different email address in Nmbrs. Read here how to fix this.

➑️ It is also important to note that Nmbrs is leading when it comes to contract information. So you should make adjustments to this information in Nmbrs, not in Eitje! If you edit this information in Eitje, it will be overwritten by the information in Nmbrs with the next sync.

End employment of team members

Depending on your settings, you must also end the employment of a team member in Eitje.

  1. Only in Nmbrs: If the setting "automatically de-activate employees" is enabled, team members are automatically de-activated in Eitje when you de-activated them in Nmbrs.

The setting can be found at the following location:

    • Navigate to Data > Integrations

    • Open your Nmbrs integration

    • Click on the three dots and then on Settings

    • In step 4 "Settings," you can enable the toggle.

2. Both in Nmbrs and in Eitje: If the setting "automatically de-activate emplyees" is disabled, it is important to de-activate employees both in Nmbrs and in Eitje. First, you will have to de-activate the team member in Nmbrs, and then in Eitje. If you only end the employment in Eitje, then the team member will be imported from Nmbrs with every sync. And if you only end the employment in Nmbrs, then the teamlid will remain in Eitje. So do not forget to do it in both places!

⚠️ Note: A contract that is ending is not the same as end of employment.

Export hours to Nmbrs

Depending on the contract type, we export the following data to Nmbrs:

What do we export?

Zero hour contracts

Fixed contracts

Worked hours

βœ…

Worked days

βœ…

βœ…

Meals

βœ…

βœ…

Allowances

βœ…

βœ…

Leave hours

βœ…

βœ…

Sick hours

βœ…

βœ…

You can export the data to Nmbrs by navigating to 'Hours' > Tools > Export to Nmbrs. Indicate what you want to export.

⚠️ Note: Eitje only exports approved hours, and only for team members with an active zero hour contract on the day of the shift. Check before exporting to Nmbrs that all hours are approved. You can export the hours again without a problem as long as you have not done a wage run.

As soon as hours are exported to Nmbrs, you can recognise such in the time registration:

Migrating from the Old to the New Nmbrs Integration

You can identify the old Nmbrs integration by first navigating to the location settings. Under the "Time Registration" section, you'll find the option "Activate HR integration." If Nmbrs is active there, you are using the old integration. If this option is not present, you are not using the old integration.

We recommend switching from the old integration to the new one. Besides we're no longer offering support for the old version, the new integration provides the following additional features:

  • Employees will be automatically marked as inactive in Eitje when they are marked as inactive in Nmbrs.

  • You can also transfer leave and sick hours to Nmbrs.

  • Team members are automatically synchronized to Eitje every evening, eliminating the need for manual updates.

  • You can add multiple locations to a single integration.

  • No API token is required anymore.

⚠️ Note: you don't have to remove the old integration. Once you've added the new one, the old integration is ignored.
