Introduction and Purpose

This article outlines processes and the features for document management within the Eldison platform.

Generating Documents

Overview

Every document is initially created when a process is saved to draft state. Documents are regenerated automatically after every process edit, during publishing, and manually when needed. Documents are generated from DOCX templates containing placeholders, which are replaced with corresponding values during generation (e.g., participant.name becomes "John Doe").

Highlighting Missing Placeholders

To ensure no important data is missing, the Eldison platform highlights missing placeholders in documents. If any placeholder value is not filled, it will be highlighted in yellow within the document, and a warning sign ⚠️ will appear in the process detail, listing all missing placeholders. Additionally, a confirmation dialog will prompt operators to review and fill in the missing information before publishing the process.

Regenerating Documents

Eldison allows you to regenerate documents directly from the process detail view without editing and saving the entire process. The "Update" option is available in the context menu (three dots “…”) next to documents that are generated with placeholders and are in draft state. This feature saves time and minimizes errors, making document updates more intuitive and straightforward.

Signing Process

Overview

All documents that need to be signed are managed via the DocuSign service. After publishing a process with the relevant document, an email is sent to the signing parties containing a unique link to DocuSign. Once the document is finalized with all required details and signatures, it is displayed on the Eldison platform, and the process continues to the next step.

Key Points

  • Multiple Signers: Most documents require multiple signers, such as company representatives and participants. By default, company signers sign first, followed by the participant, though this order can be customized per document.

  • Deadline: The default signing deadline is set to 30 days.

Resending Documents for Signature

To ensure timely document signatures, the Eldison platform includes an option to resend documents for signature. This feature sends email notifications from Eldison and DocuSign, reminding signing parties to sign documents promptly:

  1. An email from Eldison explaining the importance of the document related to the ESOP.

  2. A basic “resend envelope” command from DocuSign.

This feature is beneficial when participants forget to sign documents, causing delays. It also helps if the email with the signing link is lost or deleted, ensuring timely completion of signatures and reducing additional work for operators.
