Filters, Views & Sharing in the Scheduler

Filters, views, and sharing help you organise your schedule and share the right information with the right people.

Filters

Filters allow you to include or exclude items based on any of your attributes. This helps you focus on specific parts of your schedule.

For example, you can filter by:

  • Team

  • Department

  • Supplier

  • Location

  • Status

  • Any custom fields

This makes it easy to quickly focus on the information that matters.

Grouping

You can also group items within your schedule.

Grouping allows you to organise your schedule by:

  • Department

  • Location

  • Team

  • Supplier

  • Or other attributes

This is useful when working with complex schedules.

Creating Views

If you'd like to quickly switch between filtered layouts, you can save a view.

To create a new view:

  1. Apply your filters or grouping

  2. Click Save View

  3. Give your view a name by selecting the view in the top Views panel and typing the new name

  4. If you want to share this view with other members of your editing team, click the 3 dots next to the view and select share.

Then select which users you wish to share it with

All views will appear in the the Views panel, making it easy to switch between them.

Switching Between Views

Once saved, you can quickly switch between views at any time.
This allows different teams to focus only on what's relevant to them.

Sharing Views

You can share views externally using the Share Link.

Simply:

  1. Click Share

  2. Copy the link

  3. Send it to your team or stakeholders

This is a live link, meaning any updates you make will automatically appear.

The shared link will reflect your current view, allowing you to share specific filtered information.

For example:

  • Share a site team view

  • Share a production view

  • Share a supplier view

View Only Access

Shared links open in view-only mode.

This allows recipients to:

  • View the schedule

  • Navigate the information

But they cannot:

  • Edit

  • Modify

Exporting Views

You can also export your view as:

  • Excel

  • PDF

This makes it easy to share static versions of your schedule.
