How to invite guests to your event

With eventpage.ai, you can invite guests flexibly using different channels such as links, QR codes, WhatsApp, email, or an embedded widget.

There are two different types of invitation links, and it is important to understand the difference:


General event link

Found in: Invite β†’ Share

  • Public or semi-public link

  • Can be shared broadly

  • No prefilled email

  • Suitable for open registrations

Personal UID invitation link (recommended)

Invite β†’ Email β†’ Add guest β†’ Copy invitation link

(Available via the right-side action buttons in the respective guest row)

  • Unique per guest

  • Linked to a specific email address

  • Email is prefilled and locked

  • Secure identity verification

  • Recommended for controlled guest management

2. Invitation methods

Option 1: General event link (Share section)

Location: Invite β†’ Share

  1. Open the Invite tab.

  2. Click Share in the left menu.

  3. Copy the general event link.

  4. Share it via:

    • Website

    • Newsletter

    • Social media

    • LinkedIn

    • Community posts

Best for:

  • Open events

  • Public registrations

  • Marketing campaigns

⚠️ This link does not verify a specific invited person.


Option 2: Personal UID invitation link (Email section – recommended)

Location: Invite β†’ Email

  1. Add the guest’s email address.

  2. Save the guest.

  3. Click Copy invitation link (UID link). (Available via the right-side action buttons in the respective guest row)

  4. Send it via:

    • eventpage.ai email

    • WhatsApp

    • Your own email client

What makes this link secure:

  • The email is prefilled automatically

  • The email cannot be changed

  • The link works only for that person

This is the best option for:

  • VIP events

  • Corporate guest lists

  • Limited capacity events

  • Role-based access


Option 3: Invite via QR code

Location: Invite β†’ Share

  1. Download the QR code.

  2. Use it on posters, screens, or print material.

Best for:

  • On-site promotion

  • Offline marketing

  • Trade fairs

⚠️ Make sure your event is published before sharing the QR code.


Option 4: Invite via WhatsApp or SMS (Message Pro)

Location: Invite β†’ Message

  1. Select guests.

  2. Send invitation via WhatsApp or SMS.

Benefits:

  • High open rates

  • Instant delivery

  • Lower no-show rate

This feature may require activation.


Option 5: Invite via embed code (website integration)

Location: Invite β†’ Embed

  1. Copy the HTML snippet.

  2. Paste it into your website.

Ideal for:

  • Landing pages

  • Partner websites

  • Campaign pages


What to do if emails are not delivered

Sometimes invitations are not received due to:

  • Spam filters

  • Company firewalls

  • Security policies

Solution:

  1. Go to Invite β†’ Email

  2. Copy the personal UID link

  3. Send it manually via WhatsApp or your own email

The security mechanism remains intact.


Edge case: Host sets password manually (not recommended)

In urgent situations:

  1. Open the guest’s UID link yourself.

  2. Set a password.

  3. Share login credentials manually.

⚠️ This is not recommended due to privacy reasons, but sometimes used in time-sensitive event environments.

If used, always ask the guest to change their password immediately after login.
