How to check in guests at your event

Check in guests via QR code, Wallet pass, or manually via search – all from one unified dashboard.

eventpage.ai offers flexible ways to manage on-site check-ins. Whether scanning QR codes from tickets or manually checking in guests from a list, all methods update guest statuses in real time and provide a seamless check-in experience.

Step-by-Step Guide / How It Works

Method 1: Check-In via QR Code

1. Download the eventpage.ai App

Or open the web version in your browser (we recommend Google Chrome).

2. Log In

Use the same login credentials you used to sign up and create your event on eventpage.ai.

3. Select Your Event

  • Navigate to the specific event.

  • Tap the “Guests” tab at the bottom.

💡 Note: If you’ve created multiple event instances to manage different guest types or invitation flows, you can use the Global Check-in feature within the app. It allows you to scan guests across all connected events without switching manually.

4. Open the scanner

  • Tap the QR code icon in the bottom right corner.

  • Allow camera access when prompted.

5. Ask Guests to show their ticket

  • This can be either a PDF Ticket or a Wallet Pass.

6. Scan the Code

  • The app will show the guest’s name, assigned slot (if applicable), and check-in status.

7. Confirm Guest Details & Check-in

  • You’ll see full guest information, including any +1s.

  • Tap “Check in” to confirm their arrival.

💡 You’ll also see the latest check-in timestamp and have the option to check out a guest if needed.

8. Badge Printing (If Activated)

  • If the Badge Printing App is enabled for your event, a button “Print guest badge” will appear after check-in.

  • You can print badges directly from the app.

Method 2: Manual Check-In via Guest List

1. Open the guest list in your event

  • Log in to eventpage.ai in your browser (Chrome recommended) or download the app.

  • Select the event you want to manage.

  • Navigate to the “Guests” tab at the bottom.

2. Search for the guest

  • Use the search field to quickly find a guest by name or email.

  • You’ll see all guest details listed in rows, including RSVP or ticket status.

3. Open the action menu

  • Click the three dots (⋯) on the right side of the guest’s row.

  • Select “Check in” from the dropdown.

  • The guest will be marked as checked in, and a timestamp will appear.

💡 If a guest is already checked in, you can also check them out from the same menu.

4. Badge printing (if enabled)

  • If the Badge Printing App is activated for your event, you’ll also see the option “Print guest badge” in the same menu.

  • This lets you print the badge directly from the browser or a connected device.

💡 Benefit: Useful if the QR code is missing or doesn’t scan.

Advanced Options (Depending on Setup)

  • Track run time: After check-in, you can enter duration values (e.g. for sport events).

  • Slot assignment: If using the Book a Slot App, the guest’s selected slot will be displayed.

  • Filtering: Filter guests by slot, status, or group – great for large events.

Q: Is manual check-in available on tablets and phones?

A: Yes, the manual check-in feature is fully available on both tablets and phones via browser or the eventpage.ai app.

Q: Can I use an older iPad or phone for check-in?

A: We recommend using the latest version of iOS or Android for the best experience. Older devices (e.g. iPads from before 2019 or Android phones with Android 10 or lower) may not support the app properly.

👉 Please test your device setup in advance to ensure everything works smoothly on event day.

Q: The QR code won’t scan – what should I do?

A: Ensure good lighting and clean camera lens. If it still fails, use manual check-in.

Q: Can a guest be checked in more than once?

A: No – duplicate check-in attempts are blocked automatically.

Q: Do I need internet access?

A: Yes – check-in updates live and requires an internet connection.
