Learn about the functionality of the Opera Cloud integration

The Integration allows you to view live availability from Opera Cloud. In addition to this, every time a Group is created on Event Temple it can be automatically created in the Opera. Updates to a linked Group in Event Temple will sync to Opera.

How to Connect Event Temple with Opera Cloud

  1. Advise you'd like to integrate to Opera Cloud

    • Provide your OHIP Integration Information (See the attached PDF below for more information)

  2. Once the process has started, we'll be in touch & request that you approve the Integration User (step 2 in the OHIP document)

  3. We will contact you once the connection has been completed

  4. An Admin user will need to complete your status mapping in Event Temple to complete the integration setup.

Status Mappings

As Users cannot 'skip' statuses for groups synced with Opera, it is important that you configure Opera statuses to transition correctly when mapped.

The Default Starting Status is what the Event Temple lead Booking Status will be mapped to. This ensures that Groups created in Event Temple will match the status flow in Opera.

Next are the status mappings, lead is disabled since it is determined by the default starting status. The remaining statuses must be mapped accordingly.

In the image below, PEN can transition into TEN, and then TEN > DEF.

  1. Go to Settings -> Integrations PMS

  2. Click Edit

  3. Select your Default Starting Status

  4. Map the Event Temple Statuses to Opera Statuses

  5. Map Opera Status to Event Temple Statuses

  6. Click "Save"


Rooms

Whenever you are connected to a PMS we disable the ability to add new room types in Event Temple. Any changes to your rooms must be done in your Opera Cloud account. To get updated room types into Event Temple, either wait for the nightly room type sync or go to the PMS settings and click "Sync Room Types" to trigger the sync immediately.


Rates

Opera Rates are synced daily to Event Temple at 6.45pm PST.

A manual sync can be triggered by Admin users in Settings -> Integrations -> PMS


View Availability

GRC/General Availability

You can check the general availability (not broken by room type) of your hotel from EventTemple > Calendar > GRC.

Availability by Room Type

You can view availability for the hotel by room type from the Group Creation screen.


Adding a Group in Event Temple

ℹ️ The Group status must be set to Lead. You cannot sync the group with PMS unless the Group status begins in a Lead status.

  1. Optional: From the New Group page, Click View Availability

  2. Add the relevant Group information

    • Release Date, Group Code, Referral Source, Market Code and Rate Plan are required fields (see below for more information)

  3. Click Save & Add Room Blocks

  4. Enter your desired Blocks

  5. Optional: Click ‘Create on PMS’ checkbox to push the group to Opera (this can be done later if needed)

  6. Click Save & Close

Group Code

A Group Code must be unique within your hotel. Based on the hotel, the code template may differ. We check if your hotel enforces a code template in Opera.

If your hotel enforced a template, a sample placeholder is shown

If your hotel does not enforce a template, a sample placeholder is shown the group code is auto-populated with the booking’s unique Id - BK-00022

Rate Plan

When selecting a rate plan, it can either be custom or a synced rate with preset room rates. ​


If a custom rate is selected, the user can define the pricing for any room type with availability.

If a preset rate is selected, rates based on the groups start and end date will be presented

Group Occupancy

The Opera Integration uses single occupancy rates. Adjusting the number of single occupancy blocks will deduct the number of rooms in Opera.

When reservations are added to the block and are picked up, the user can specify how many double, triple or quadruple rooms to be picked up. When the Event Temple Group is synced again, the numbers input in Opera are reflected in this grid within Event Temple.


Editing a Group Status in Event Temple

When updating a Booking Status, you have the option to update the Group Status automatically, which then pushes through to update the Opera Status.

Updating Status in this way must be done in the order of your Opera Settings.

  • LEAD can change to TENTATIVE or LOST

  • TENTATIVE can change to DEFINITE or LOST

  • DEFINITE can only change to LOST

For example: I cannot change a status from Lead directly to Definite, therefore when attempting to save the status the below message will appear:

In this case, I will need to first update the Booking to the next status (in this case, Tentative). ​

If for some reason you need to skip a status on your Group, you must edit the Group's status via editing the Group instead.

Editing a Group synced with Opera will automatically update the information in Opera and vice versa. Changes made to a Group in Opera will update in Event Temple every 15 minutes or when clicking the refresh button on the Group.


Important Considerations

It's important that you familiarise yourself with Opera's statuses and how they affect your inventory. When editing a Group, selecting a status that returns rooms to inventory will cancel the block, for example, Regret.

The flow of status changes can be configured by an admin within your Event Temple PMS Settings.

Opera Blocks created in ET are elastic by default. Elastic-type blocks allow you to extend a guest in Opera who is a part of the block room allotment to a future date even if rooms are not available in the Allotment for a future date.
