Policies for registration conversions, cancellations, and refunds, including deadlines, fees, and procedures for switching attendance types.

Conversion Policy

To convert the admission type of your registration, please email secretariat@ineip.org.

Conversion policies are as follows:

  • In-Person to Online: You can change your admission from In-Person to Online up to 31 October 2025 and will receive a refund of the difference in fees based on the period you first registered. As of 1 November 2025, no refunds for changes from In-Person to Online attendance will be provided.

  • Online to In-Person: You can switch your admission from Online to In-Person anytime. The fee will be based on the registration fee applicable at the time of the change. You will be required to pay the difference after deducting the amount you have already paid for Online attendance.

Cancellation Policy

To cancel your registration, please email secretariat@ineip.org or access your registration confirmation page using your confirmation number and click the cancellation button. A written cancellation confirmation will be sent to your email.

Cancellation policies are as follows:

  • Up to and including 31 August 2025: Full refund of registration fee and hotel booking costs (if booked via EIP's system), minus a handling fee of 40 euros.

  • Up to and including 30 September 2025: 50% refund of the registration fee and 100% refund of hotel booking costs (if booked via EIP's system), minus a handling fee of 40 euros.

  • Up to and including 31 October 2025: 20% refund of the registration fee and 100% refund of hotel booking costs (if booked via EIP's system), minus a handling fee of 40 euros.

  • After 1 November 2025: No refunds for registration or hotel bookings will be made.

Additional Considerations:

  • In the event of cancellation or postponement of the on-site portion of the meeting due to safety concerns, liability will be limited to refunding the difference between the In-Person and Online registration fees paid.

  • If travel restrictions are imposed, the on-site program may convert to a virtual-only format before the meeting commences. Registrations will automatically be adjusted to virtual attendance, with a refund provided for the difference in fees.
