How to Build a Schedule

With Expressway Scheduling, you can set employee availability, add shifts, and publish schedules for your entire team. The app offers flexible tools to help you efficiently create and manage schedules.


Step 1: Set Employee Availability

Availability defines the days and times a team member can work. This is a recurring schedule and is separate from one-off time-off requests.

  1. Navigate to the Staff module.

  2. Click on an employee’s name to open their profile.

  3. In the Availability card, click Edit.

  4. For each day of the week, set one of the following:

    • Available All Day (default).

    • Unavailable All Day.

    • Unavailable for a Time Range (select unavailable start and end times).

  5. Click Save to update the employee’s availability.


Step 2: Add Shifts to Employees

Shifts represent the specific hours an employee will work under a particular job title. You can assign multiple shifts to an employee in a single day.

  1. Navigate to the Shifts section in the scheduling application.

  2. Select the desired time frame using the Date Range Selector.

  3. Choose a View: Day, Week, or List.

  4. Click on an employee’s row to open the Add Shift screen.

  5. Complete the shift details:

    • Verify the employee and date(s).

    • Select a Job.

    • Enter a Start Time and End Time.

    • If the employee is unavailable or partially available, a note will appear regarding their availability.

    • Add an Optional Note (e.g., instructions or reminders). Notes will be visible to employees when they receive their schedule via email.

  6. To repeat the shift on other days, use the Repeat menu to select the applicable days.

  7. Click Save.

  8. Repeat these steps for each employee until the schedule is complete.


Step 3: Publish and Print the Schedule

Once you’ve built your schedule, review it and publish it to notify your team.

  1. Review Totals:

    • Check the totals in the footer or select View Totals from the More Actions menu to review scheduled hours, total shifts, and costs.

  2. Publish the Schedule:

    • Decide whether to publish a single day or the entire week:

      • Publishing from the Day View publishes only that day.

      • Publishing from the Week View publishes the full week.

    • Review the summary popup, which includes:

      • Total number of shifts.

      • Total hours scheduled.

      • Scheduled costs.

    • Choose one of the following notification options:

      • Notify Affected Staff Only.

      • Notify All Staff.

      • Do Not Notify Anyone.

    • Click Publish.

  3. Print the Schedule:

    • From any schedule view, select Print Day/Week/List from the More Actions menu to generate a hard copy.
