A task always precedes an invoice. You need to have the task approved before starting the job, as Factofly is responsible for insuring you while working.

Why do I need to create a task before starting my work?

As a user of Factofly, you are hired as a project employee. Since we act as your employer during this period, we also ensure that you are insured while performing your work.

Therefore, you need to create a task in the system before starting your work, so we can employ you under the correct terms. Here, you’ll specify an estimate for both hours and price, along with a detailed description of the work to be performed.

As soon as you create the task, and it is approved by your client, you are covered by our workers’ compensation and liability insurance for the period your work spans.

When you are ready to invoice your client for the work, you can create an invoice based on your task. Here, you have the opportunity to adjust hours, period, and price if any changes occurred during the work.

Why is my task limited to 31 days?

To ensure flexibility and precise insurance coverage, a task can only last for a maximum of one month. Each task, therefore, cannot extend beyond one month. If your project lasts longer, simply create a new task for the next period.

  • Precise Insurance Coverage – The limitation ensures that you are only insured for the periods you are actually working for the client, and that insurance hours are purchased based on the actual working time.

  • Flexibility in Project Management – With a shorter task period, you and your client can easily adjust the agreement if the project changes in scope or duration.

  • Strengthening Your Position – Shorter tasks allow for regular adjustments to contract terms, so neither you nor the client is bound longer than necessary.

  • Ensuring Employment Conditions – The limitation helps ensure that your freelance work is regarded as employment through Factofly rather than a direct agreement between you and the client. This protects you in your role and ensures that the work is carried out under the correct employment terms.

If you have an ongoing collaboration with your client, make sure to create tasks of one-month duration as long as the collaboration is active. You have the option to copy the previous task and simply adjust the dates if the task involves the same project.

Task Approval for the First Task

If this is the first time you are creating a task for the particular client, it must be approved by your client. A task confirmation will therefore be sent to the client. This includes the description and the period of the work. You can see an example of how a task appears for your client here.

Here, your client also has the opportunity to raise objections to the work description or other parts of the submitted task specification.

Adding Expenses & Mileage

Tasks are also used to log mileage. To receive a mileage deduction, you must have created and attached mileage to a task. You can read more about mileage deductions here.
