🔒 The new version of Lead management can be toggled on by going to Settings → Playground → New Enquiries List (Beta)

How to Find Lead Management

You can use Lead management to keep track of potential new starters, children you've enrolled at your setting, and booked showarounds. You can see your list of leads and interests by going to Attendance in your sidebar Registration → then the Lead management (Beta) tab.

Lead management can be viewed on center-level, or organizational-level if you are part of a group of centers.

How do I see an overview of new starters in my setting?

At the very top of your Lead management page, you'll see your key statistics, including:

  • Total leads

  • How many showarounds have been booked

  • How many children have been enrolled from your Lead management list, and

  • How many potential children have been lost

Underneath your key statistics, you'll see all interests. If you'd like to narrow down your overview, you can click on + Add filter. You can filter by:

  • Creation date

  • Child's start date

    • This is the date entered in the Expected start date part of the child's lead management profile

  • Status

    • You can choose from confirmed, contacted, enrolled, lost, new, viewed, or waiting list

  • Room

  • Activity

    • These are actions you've taken, like calling the parent, completing a showaround, or changing a lead's status

  • Site

    • If you are part of an organization, you can add the Center filter and select specific sites you'd like to see on your Lead management list

If you are part of an organization, you can view your leads by organization, or by center using the center dropdown on the right:

💡 If you'd like to download your list of leads, click on Export to create a CSV file of all your lead profiles and their information

How to Add a New Interest

To add a new enquiry:

  • Click on the New interest button

  • Enter the information you have about the child in the relevant fields

  • Check the Book showaround box to enter the details of the showaround (this is where you show the child and their family around your center)

    • You can always edit the showaround time later, by opening up the saved interest form and hovering over the showaround time

  • When you're finished, click Confirm

💡 If you are part of an organization, you'll only see the New interest button if you're viewing Lead management on center-level. So make sure you've not selected the entire organization in the center picker at the top

Creating a Child Profile from Lead Management

Once you have completed the information in the new interest form, a Profile for the child will be created. If you click on the child's listing in Lead management, this profile will open and you will be able to enter further details about the child and the requested billing plan. This means you will be able to give the child's parents a quote for their childcare.

Once you're ready for the child to start at your center, all you have to do is open the Profile (by clicking on it in Lead management) and click Enroll.

Add an Interest Form to your Website

By clicking on Website form, you can encourage parents to send their child's information straight to your Lead management list from your website. All you need to do is:

  • Copy the link to your form

  • Share that link with interested parents or add it to your website

And that’s it! When parents click on the link, they’ll be redirected to a form where they can enter their information. When they submit, it’ll be automatically uploaded to your Lead management list and you’ll receive a notification to let you know you’ve got a new interest.

💡 Due to security reasons, it is not possible to embed this form onto your website. Please share via the link instead!

How to Delete an Interest

To remove an interest, click on the entry from the overview and find the '...' on the top right of the pop-up. From here, select Delete from the dropdown.
