There are a variety of different reports within Fanbase, this article acts as a guide on where to find each, and what they contain.
TOTAL REVENUE REPORT
This report can be found on the main admin dashboard. You can download it on the top left tile titled 'Total Revenue', simply click 'Download report' on that tile and the report will be added to your downloads folder.
Once you have downloaded and opened the report, this is what you will see.
The sections of this report are as follows:
Summary
Fixtures
Fixtures by Ticket
Events
Events by Ticket
Season Tickets
Memberships
Transaction & Stripe payout reports:
You can find this by clicking on reports on the left-hand side of the admin dashboard, then selecting 'Transaction level'.
From here, you can set a date range in the top left and select 'View Report'. This will give you:
A summary of transactions broken down by product type showing revenue, payment type, fees and payout
A detailed table of all the transactions including all order details
You can export this report by clicking on 'Download Report'. Additional details in the report include gross income and net income after fees.
Important notes
Transaction Report vs Stripe Payout Report: A transaction may appear in the Transaction Report on the date it was made but be included in the following Stripe payout due to the payout cutoff time.
Always use the Stripe Payout Report to confirm which transactions were included in a specific payout.
Payout schedules: Clubs can choose how frequently they receive payouts through Stripe. Weekly payouts group transactions together based on the selected payout day, while daily payouts provide more frequent payments but can be a more difficult to reconcile.
Weekly payouts: The transaction period depends on the selected payout day. For example:
Wednesday: generally covers Monday–Sunday.
Thursday: generally covers Tuesday–Monday.
Friday: generally covers Wednesday–Tuesday.
The exact transaction window and cutoff time should always be checked in the Stripe Payout Report.
Fees: The Transaction Report shows Stripe processing fees, Fanbase fees and VAT. Stripe's transaction fee is charged per transaction.
Refunds: Refunds can affect the total amount included in a payout. If your ticket sales and net payout don't match, check the Stripe Payout Report for any refunds that may explain the difference.
Top tip 💡 When reconciling a specific payout, always use the Stripe Payout Report to confirm exactly which transactions and refunds were included.
FIXTURE REPORT
This report is for a breakdown of sales for an individual fixture.The report can be found by:
Click 'Schedule' on the left-hand side.
Click 'View' on the fixture of choice.
On the right-hand side of the screen, click 'Download Tickets'
The report will then contain details such as:
Order ID
Date of order
Customers name
Customer email
Ticket type information
The QR code string of the ticket
Whether it was scanned
The price of the ticket.
SEASON TICKET REPORT
This report provides information on every season ticket sold.
You can find it by:
1. Click 'Tickets' on the left-hand side.
2. Then, select 'Season Tickets'
3. Click on the 'Download ST Holders' button on the right-hand side.
The report will then contain details such as:
Order ID
Date of order
Customers name
Customer email
Ticket type information
The QR code string of the ticket
Address Information
The price of the ticket.
Fixtures attended.
The season ticket report is the one you should provide to a printing house if you are getting physical tickets made.
MEMBERSHIP REPORT
This report gives you a summary of your member's details and the status of the membership.
You can access this by:
1. Click 'Memberships' on the left-hand side of the admin dashboard.
2. Click the 'Download membership report' button on the right-hand side.
The report will then contain details such as:
Membership ID
Customers name
Customer email
Address details
Contact details
Date of order
Membership type
Billing details
Status of membership
Date of cancellation (if applicable)
