AI Assistant

The AI Assistant is your on-demand helper. Open it from any page and type or speak what you need.

Create records fast

  • "Create a work order for a leaking pipe in Building A, high priority, assign it to Mike."

  • "Add a new piece of equipment — Carrier 50XC rooftop unit on Building A roof, serial 1234ABC."

  • "Create a quarterly PM for all rooftop units in Building A, assign it to the HVAC team."

  • "Add ABC Plumbing as a vendor — contact John Smith, 555-1234, Net 30 terms."

Update records without clicking around

  • "Update WO 3544 — change the status to in progress and assign it to Sarah."

Live stream from the field (mobile)

  • Tag new equipment: walk up to a unit, tap Live Stream Create, photograph the nameplate, and say "four-ton HVAC, basement mechanical room." Submit and move to the next one.

  • Update equipment via QR code: tap Live Stream to Update, scan the QR code, say "condition is fair, install date is January 2024."

  • Close out inspection items: open the inspection, tap Live Stream on item 1, snap a photo, say "door closed and locked, complete it."

  • Physical inventory count: open a variance adjustment, walk the shelves, scan each bin QR code, say "there's 12 of these." The assistant records each count in the background.

Voice-dictate a batch of updates

On a work order, tap Speak to Update and talk naturally — pause between thoughts:

"Add a do-not-exceed cost of 400." (pause) "Change the priority to low." (pause) "Schedule this for tomorrow at 4." (pause) "Add a comment that I'll be there Tuesday at 4."

Each instruction queues automatically. In autonomous mode they execute in order without confirmation.

AI Agent Teams

Agent Teams run autonomously in the background on a schedule. You configure them once and they report findings through Automation Alerts. Premium at $200/month per team.

Work Order Agent Team

  • Auto-create work orders from inbound email: a tenant emails the request inbox; the Inbound Parse Agent creates the work order with location, category, and requester filled in from existing data.

  • Assign unassigned work orders every morning: the Scheduler Agent runs daily, evaluates each technician's workload, and distributes new work orders automatically. If there's no strong fit, it posts an @all comment so someone can self-assign.

  • Flag slipping work orders before they're overdue: the Monitoring Agent watches open WOs and marks or comments on ones that are falling behind based on your custom rules.

  • Weekly slipping-pattern report: the Analysis & Trends Agent runs a scheduled analysis of slipping work orders and posts a narrative finding plus an Excel export to Automation Alerts every Monday.

  • Auto-close event work orders: write a custom rule — "Move event-related work orders to Completed seven days after the event date" — and the Monitoring Agent handles it.

Equipment Agent Team

  • Fill in missing equipment data overnight: the Standardization Agent runs on a schedule, finds equipment missing manufacturer, model, or warranty info, and enriches it based on model number lookups.

  • Create PMs for unprotected equipment: the PM Schedule Agent finds equipment with no PM coverage and creates schedules with the right recurrence and checklist based on equipment type.

  • Spot callback patterns: the Analysis & Trends Agent flags equipment generating repeat work orders in short windows so you can investigate root causes or evaluate replace-vs-repair.

How to enable an Agent Team

  1. Go to Settings → AI Assistant → Agent Teams.

  2. Pick a team, review the included agents and starter flows.

  3. Enable the team and turn on the starter flows that apply to you.

  4. Results appear in the Automation Alerts panel in the sidebar.
