Creating an External Form in Flowpath

This guide provides a detailed walkthrough for creating and managing external forms in Flowpath.

2. Click on your Action Menu to access Global Settings.

3. Click "Global Settings"

4. Click "External Forms" which can be found at the top.

5. You can either manage existing External Forms or Click "Add form" to create a new form.

6. You will first be prompted to name your form. Not to worry you can edit this name at any point.

7. After naming it click "Create" to start the process.

8. You can activate the form as you are creating it or keep it inactive until you are ready to share the form. Work Orders cannot be submitted with the form until you have activated it and shared the link or QR code provided.

9. Review the data collection fields and determine if you want to make these fields not only visible to your requesters but also required.

10. Some fields will have "Edit Visible Selections". This option allows you to determine what visible choices the requestor actually sees.

11. To update Visible Selections click the drop down menu.

12. You can unselect all by clicking "Select All / Unselect all" and then selecting one or multiple options, or you can simply unselect the ones you don't want visible.

13. Click the options you want visible.

14. Click "Save" to make sure your changes are saved.

15. Click the X to leave and work on another field.

16. You can also add custom questions to your form.
Click on the "Enter field label" field, and add your custom question or remark.

17. Click the drop down to select the type of field you would like for your requester to see and select accordingly.

18. Click here to make this field a required field.

**Custom fields cannot be edited after creation.

19. Click "Add Field" to create.

20. To preview what the requester sees click "View" at the top of the form. A new tab will open in your browser.

21. Feel free to test your form and interact with it.

22. Congratulations you have created a external form that is ready to use!
You can see all of your forms under the External Forms Tab, from here you can access them to edit or retrieve the link and QR code.
