How to set up Tag Groups and Tags

Creating a new Tag Group

Tags are added into Tag Groups for classification and setting up Tag Universes.

  1. Select Manage Tag Groups.

  2. Search for the Tag Group Name to verify a similar Tag Group does not already exist.

  3. Select New Tag Group.

  4. Add the Tag Group Name (maximum 50 characters) and the Tag Group Description (maximum 100 characters). The Tag Group Name will appear in voter records, Basic/Advanced Counts criteria, and reports. Use the Tag Group Description to fully explain the Tag Group's characteristics.

  5. Set the Tag Group as a Universe Tag if required. Tag Universes are specially categorized for different Counts criteria and expanded reports. Only set a Tag Group as a Universe Tag if the tags apply to all voter records in the state database and is authorized by the RNC or the State Party.

  6. Save the new Tag Group.

Tag Groups can only be deleted from the web site if no associated Tags are created and assigned to voter records.


Creating and Managing Tags

Tags are assigned into a Tag Group, and they can be updated with National Tag, Tag Attributes, and other characteristics. User accounts may be restricted from accessing specific Tags by User Roles or Organizations.

  1. Select Manage Tags from the Manage Tag Groups page if necessary.

  2. Select New Tag.

  3. Add the National Tag values if required by the RNC or the State Party. Type Unknown to set the National Tag values as Unknown | Unknown | Unknown | Unknown if no National Tag values are required.

  4. Add the Tag Name (maximum 50 characters) and Tag Description (maximum 100 characters). The Tag Name will be displayed for voter records, Basic/Advanced Counts criteria, individual export columns, and reports. Use the Tag Description to fully explaining the Tag's characteristics, which will be included in reports.

  5. Assign the existing Tag Group.

  6. Add the Election Year, Initiative Type, Method, and Disposition if required by the RNC or the State Party. Otherwise, leave these values blank.

  7. Set the Tag's restrictions if required. Tags can be restricted by User Role or Organization; in either case, user accounts with the proscribed User Role or Organization will have exclusive access to the Tag in voter details, Counts criteria, and reports.

  8. Set the Tag Attributes if required. Tag Attributes are applied in Counts criteria to filter any voter record with a Tag assigned to the selected Tag Attribute.

  9. Save the new Tag.


Editing Tags

All characteristics of a Tag, including the Tag Group, Tag Name, Tag Description, Restrictions, and Tag Attributes, may be changed by authorized users. Editing a Tag will not affect any voter records assigned to that Tag.

Deleting Tags

Click the Trash Can icon to mark a Tag as Inactive, which will hide the Tag from voter records, Counts criteria, Export columns, and most reports. Voter records are not removed from Inactive Tags.

Select the Show Deleted Tags checkbox to search for and display Inactive Tags. Click on the Add (+) icon to reactivate an Inactive Tag. Voter records assigned to reactivated Tag will become immediately accessible in voter records and Counts results.

Restricted Tags

Tags restricted by specified User Roles or Organizations may only be viewed by users who are assigned the specific User Role or Organization. For example, a campaign may want to restrict access to their "Yard Sign" tag to specified users. Restricted Tags are identified in the Restricted column of the Manage Tags page with an icon.

Copy Tags

Administrators with multi-state geographic permissions may copy Tag Groups and their associated Tags into other state databases.


Adding and Removing Tags from a Voter Record

From Tools > Find a Voter, use the Quick Tag or Edit Voter option add or remove Tags for a specific voter record. Removing the Tag will delete the assigned Tag from the voter record and cannot be restored from the web site.


Tag Counts Report

Go to Tools > Tag Group Report, which will display the voter record count for Tags within the selected Tag Group. Use the Geography drop-down menu to select counts for statewide, Congressional District, State Senate District, State House District, City, and Precinct.

Click on any Tag in the Tag Group to view the Tag's detailed voter information in a separate browser window. Select Export to download a spreadsheet with details and voter record counts for all Tag Groups and Tags in the state database.
