FORA Getting Started - FAQs

Frequently Asked Questions when getting started with FORA

Updated this week
  • Why do I need to connect my calendar?

FORA requires calendar connection to allow for easy import of your meetings and to ensure FORA is able to auto join or be manually added to your meetings easily. FORA does not modify your calendar in any way.

  • Can FORA see my emails?

No, FORA does not have access to your emails unless you choose to forward a specific email or chain of emails to FORA for summarization. If you’d like an email or email chain summarized you can forward emails to feed@fora.day.

  • How does FORA join my meetings?

At the most basic level, FORA retrieves the meeting URL from your calendar invites and is able to autojoin or manually join meetings depending on how your company admin has configured the system. If there is no URL in the invite or the url is bad, FORA may not be able to join. In cases where FORA fails to join the meeting you should receive an error message in your agenda page within FORA explaining the issue

  • FORA was kicked out of a meeting but I’d like to add it back, how do I do that?

You can add FORA back to a meeting it was kicked out of by clicking the “Add FORA Back” button from the meeting page or from your agenda screen in FORA at app.fora.day.

  • I want to pause FORA without kicking it out of the meeting entirely, how do I do that?

You can pause FORA’s recording and transcription at any time by hitting the active toggle on the agenda page or on the meeting page in FORA. FORA can be paused and unpaused as often as you like. Any user in the meeting can pause or remove FORA.

  • Can FORA cause issues in my meetings or see my desktop?

No, FORA is a notetaker bot that joins your meetings as another participant, it has no access to your computer, it is not installed anywhere except in the cloud, and does not have any special roles or access a normal participant has in a meeting.

  • Who can see my meetings in FORA?

By default FORA follows the span of control, so only people in your chain of command can see your meetings. As an example, your coworker peer cannot see your meetings outside of those they were invited to but your manager can by default. An important exception to this is any meeting marked “Private” using the lock icon on the meeting page is only visible to invitees.

  • What does marking a meeting private do?

Meetings can be marked “Private” before, during and after a meeting by clicking the lock icon on the meeting page in FORA. Marking a meeting private immediately restricts the video, audio, transcripts and any other data about the meeting to only the users invited to the meeting. No other users within the system will have any kind of access to anything in that meeting. This is important as it gives users complete and total control over what is shared within the business and what is not. All users have the ability to mark a meeting they were invited to as private.

  • What meeting platforms does FORA notetaker work with?

FORA works in Microsoft Teams, Google Meet, Zoom and Webex currently with future plans to support Slack Huddles

  • Can I summarize other things in FORA?

Yes, you can forward emails to feed@fora.day to have them summarized. You can summarize multiple document formats as well as add FORA to slack channels for daily, weekly and monthly digests of what's happening in public channels. You can also upload audio and video files from other platforms and recordings that FORA did not attend to have those summarized as well.

  • Is FORA in my private Slack or Teams DMs?

No, FORA is always visible in the channels it's in. In a meeting, the FORA notetaker will be present and visible and can be kicked like any other participant. In Slack or Teams public Channels FORA is visible as a participant in the channel. FORA can not see your emails, or private messages within Slack or Teams.

  • Is my data safe in FORA?

Yes! Data in FORA is encrypted in transit and at rest and access to customer data is tightly controlled and limited. There are a number of organizational and individual controls within FORA to ensure complete privacy and control when needed by the user.

  • What is FORA’s Purpose?

Fora is designed for a variety of communication intelligence purposes. At its most fundamental level it's a meeting productivity tool that records, transcribes, summarizes and extracts insights, topics and sentiment from meetings, documents and public chats. It works across a multitude of platforms with prebuilt connectors syncing with tools like Salesforce, Hubspot, Notion, Teams, Slack, Zoom and other platforms. For Individual Contributors FORA can provide meeting prep, insights into participants, live meeting notes, personalized summaries and real time “Ask” functionality during a meeting. For Leaders, FORA can aggregate insights about trends happening across meetings. What are customers saying and asking for? What is the product team working on? What competitive intel can we gather from prospect meetings?

FORA is NOT designed to be a surveillance tool and focuses on big picture topics and trends that help break down silos within a business and help add context to conversations. User’s privacy and control over their own data is paramount so controls are layered within the system to make sure user’s have control over their meeting data and where it is shared on top of default organizational controls that respect the span of control.

  • Does FORA give others access to my calendar or future meetings?

No, unless you’ve shared your calendar already with your business, FORA does not expose your current or future meetings with others. Completed meeting summaries may be available to users above you in the span of control unless you mark the meeting as “Private” from your agenda or the meeting page itself.

  • How do I remove FORA from a meeting?

You can remove FORA by simply clicking the remove FORA button in FORA before or during a meeting from the agenda screen or from the meeting details screen in FORA or by kicking FORA from within the meeting like you would for any other participant.

  • Does FORA have a mobile app?

FORA is close to launching an IOS app that will be available for all users but currently support mobile/desktop web application as the only access point. This is accessible via app.fora.day.

  • How are my meeting summaries generated?

FORA uses a combination of your personal prompt (How you like meetings summarized), the meeting category, and the organizational prompt (Tenant level setting) to generate your personal summary. Every user in a meeting will have their own summary generated based on the above. Your personal user prompt is very important and has a heavy influence on the quality and style of the summary you receive. It’s important you tell FORA how you like your summaries to get the most out of the platform. Additionally you can add your own custom summaries on the meeting page by chatting with FORA to create new summaries based on the different types of meetings you’re having.

  • What is “Ask FORA”?

Ask FORA is like chatgpt for your meetings and can be accessed in the bottom right of every meeting page. You can ask questions about your meeting during and after the meeting. Joining a meeting late? Ask FORA to catch you up on the main topics thus far. Need to generate a follow up email or get the details for an SOW update? Just ask FORA.

  • How do I download the Video from a meeting?

You can download the meeting video in MP4 format by visiting the meeting page, opening the video player and clicking the download icon in the bottom toolbar. If you’d like to share the video along with the summary, topics and meeting timeline with an external meeting participant, just click the share button and select the “Share Via Web” option.

  • How do I share a meeting?

You can share a meeting with internal or external participants by clicking the Share button from the meeting page or the agenda page. There are 3 options available, Share via Web which creates a limited web experience inclusive of the video, summary, transcript and meeting timeline, or share via email, or download a pdf of the summary.

  • How do Morning and Evening Email Digests work?

Users can subscribe to morning and evening digests in FORA, the morning email will provide your upcoming meetings for the day along with participants and meeting prep if available. The evening digest includes summaries from your and your teams meetings for the day. Times are configurable with many time zones supported. You can access your digest settings here: https://app.fora.day/settings/account

  • FORA joined my meeting automatically. Why did it do that?

FORA uses a combination of rules to determine when it should and shouldn’t join meetings. Your tenant may have autoscheduling turned on, or the meeting category calls for auto scheduling, or you’ve enabled autoscheduling on your profile with the per user autoscheduling feature. FORA will only send one notetaker to a meeting so it’s also possible another user may have added or invited FORA to a meeting. In cases like that where the group of users do not want FORA to record a meeting, you can easily remove FORA with the remove button or ask your admin to adjust the settings for the particular meeting type. Auto scheduling settings on a per user basis can be found here: https://app.fora.day/settings/account
