Downloading Visitor Signed Documents
To upload documents and email them to guests
Uploading Legal Documents for Visitors
Navigate to the “Company Admin” dropdown (top right corner).
Select “Settings”.
Click on the “Visitor Management” tab.
Under the “Documents” section, click Upload to add NDAs or other legal forms.
Adding Dynamic Fields to Documents
When uploading a document, Admins can add dynamic tags to customize and capture required guest information. Tags include:
{{Signature}} – Guest signature
{{Signature Date}} – Date of signature
{{Name}} – Guest name
⚠️ Note: At least one {{Signature}} tag is required for the document to be used.
Associating Documents with Specific Office Locations
Go to the “Forms” tab in Visitor Management.
Click the three dots (⋮) next to the relevant form and select “Edit”.
Scroll to “Add your required legal documents” and choose from the dropdown list of uploaded/tagged documents.
Only documents that include at least one tag will be available for selection.
Automatically Emailing Signed Documents
To receive signed documents via email:
In the “Settings” tab under Visitor Management, locate the toggle:
“Email all visitor signed documents”Turn it ON and enter the email address where signed PDFs should be sent.
Managing Documents
Admins can also:
Rename or Delete documents at any time from the Documents tab
Continue using previously selected documents in forms—even if the document has been edited (as long as tags are intact)
📄 Signed PDFs will only be generated after a document is properly tagged.
FAQ and Key Notes
Visitor Management is divided into three tabs:
Forms, Settings, and DocumentsOnly tagged documents can be added to visit forms
Multiple tags of each type can be added
Signed PDFs are generated only when required tags are in place
