Visitor Management: Printer Setup

This guide will help you get your printer set up to print your Visitor Management Guest Badges.

🖨️ Gable Printer Setup Guide

For Brother QL-820NWB

🔌 Before You Begin

1. Wi-Fi or Ethernet?

Decide how you’ll connect the printer:

  • Wi-Fi: Recommended for flexibility

  • Ethernet: Recommended for stability

2. Static IP Address Required

Coordinate with your IT team to assign a static IP address to the printer.
If the IP address changes, the printer must be reconfigured within Gable.


📶 Wi-Fi Setup Instructions

Step 1: Connect the Printer to Wi-Fi

  1. Power on your Brother QL-820NWB.

  2. If you're not on the main screen, press the [↩] button to return.

  3. Press [Menu].

  4. Navigate with the [▲]/[▼] buttons:

    • Go to WLAN > WLAN (On/Off) → Select On → Press [OK].

    • Then go to WLAN > Infra Manual Setting → Press [OK].

  5. Select your Wi-Fi network → Press [OK].

  6. Enter your Wi-Fi password using [▲]/[▼] to select characters → Press [OK].

  7. Once connected, a Wi-Fi icon will appear in the top-right corner of the screen.

Step 2: Find the Printer’s IP Address

  1. Press [Menu].

  2. Navigate to WLAN > WLAN Status > Infrastructure Mode → Press [OK].

  3. Note the IP Addr shown — you’ll need this for Gable.


🌐 Ethernet Setup Instructions

Step 1: Connect the Printer

  1. Plug an Ethernet cable into the back of the printer and into a router, wall port, or LAN outlet.

  2. Power on the printer and wait for the green status light.

  3. Complete the on-screen prompts for language, date, and time.

Step 2: Locate the IP Address

  1. Press [Menu] → Navigate to Information > Print Configuration > All → Select Start.

  2. Several configuration labels will print. Discard the first six.

  3. On the seventh label, locate the IP Address.


🔗 Pair Your Printer with Gable

  1. On your computer, go to your Gable Admin account.

  2. Navigate to: Company Admin > Settings > Visitor Management.

  3. Under Connected HQs, click the printer icon for the desired location.

  4. Select your model: Brother QL-820NWB.

  5. Choose your connection type: Wi-Fi or Ethernet.

  6. Enter a printer name (something easily recognizable).

  7. Type the IP address you retrieved earlier.

  8. Click Save.


🧪 Test the Printer

  1. Use the iPad to complete a test visitor sign-in.

  2. A badge should automatically print.


📱 Connect the iPad to Gable

Step 1: Download the App

  1. On your iPad, download the Gable Visitors App from the App Store.

Step 2: Link to Your HQ

  1. In your Gable Admin dashboard, go to:

    • Company Admin > Settings > Visitor Management.

  2. Click the QR icon next to your HQ location.

  3. Use the iPad’s camera to scan the QR code.

  4. The tablet will link to the HQ and be ready to use.

Step 3: Test the iPad

  1. Use the iPad to sign in as a test visitor.

  2. In your Gable Admin account, go to Company Visits.

  3. You should see the visitor record appear in the list.


⚙️ Recommended Printer Settings

Disable "Auto Power Off"

  1. Press [Menu].

  2. Go to Settings > Auto Power Off > Adapter.

  3. Select Off → Press [OK].

This prevents the printer from shutting off automatically after a period of inactivity.

Other Tips

  • Always return to the main menu after changing settings.

  • Ensure both the printer and iPad are on the same network.

  • To install the latest Gable Printer App updates:

    • Close and reopen the app twice, waiting 5 seconds between actions.
