Gable has an integration with Outlook. Learn how it works, and how to connect it.

How does it work?

  • You can assign each meeting room or hourly hot desk to the "Room" resource in your account

  • Show live availability by the room's calendar.

  • New Gable bookings will be created on the calendar.

    • Guests will be invited to the event on the room calendar

    • Changes will not affect the Gable booking: new invites/invites statuses/event cancel or modified

    • Invites will not be added to the calendar event

  • Events that are created directly on your calendar will not appear on Gable.

Setup

Admin consent

The integration application should be installed in your Microsoft account using admin consent.

There are two ways to open the consent window within Gable:

  1. Company admin > Settings > Integration > Microsoft Outlook > Connect

or 2. Company admin > Settings > Locations > Company HQ > Edit (Hq with floorplan) > Edit meeting room > select Microsoft calendar provider > click Connect

Permissions:

  • User.Read (Delegated) - Sign in and read user profile

  • Required for the consent flow, to verify the user has ownership on the account

  • Calendars.ReadWrite - Read and write calendars in all mailboxes

  • For read and write events on all your room's calendars

  • Gable does not read personal calendars events

  • Places.Read.All - Read all company places

  • For fetching all company rooms to be able to link to your HQ tags on Gable

Required admin roles

The user must be an admin on the Microsoft account. If the user doesn't have roles for consent in the application you will see this popup window:

Link tag to room:

  1. Edit the Meeting Room tag on Gable’s HQ and scroll down to the integration section

2. Type and select the room name you would like to link this tag with.

3. Wait for the link to complete the connection.

Creating an Event

The event organizer will be titled under the "room name" and the main guest will be invited to the event. Gable does not track the guest's RSVP status or if it is forwarded to other guests.

Do booking limits apply to Gable bookings?

Currently, Gable does not consider the booking settings of the room, and they are not applied on Gable. Since the organizer of the event is technically the room itself, the room automatically accepts the booking regardless of the settings.
