Transfer Inventory Between Sites

How to move on-hand inventory from one school to another and how the transfer appears in each school's inventory log.

What a Transfer Does

A transfer moves on-hand inventory from one school to another. The amount is subtracted from the sending school's on-hand and added to the receiving school's on-hand in a single linked transaction.

Use a transfer when you physically move stock between sites and want both schools' records to reflect what actually happened.

Transferring Inventory

  1. Open the item page from the Pantry.

  2. Locate the Inventory section and click Update.

  3. Select Transfer.

  4. Choose the sending school.

  5. Choose the receiving school.

  6. Enter the amount and unit.

  7. Optionally enter notes.

  8. Save.

Where the Transfer Appears

The transfer is recorded as one transaction on each school's inventory log: a check-out at the sending school and a check-in at the receiving school. Both entries reference the same transfer so it is clear the inventory moved rather than being lost or duplicated.
