Update Inventory for an Item

The Four Inventory Actions

From the item page in the Pantry, you can adjust on-hand inventory for that item at a specific school. The available actions are:

  • Check-In: adds inventory to on-hand. Use when inventory arrives outside of a Gaia-generated order.

  • Check-Out: subtracts inventory from on-hand. Use for damaged, discarded, or removed inventory that is not captured by a production record.

  • True Up: resets on-hand to a specific amount. Use this after a physical count to align Gaia's records with what is on the shelf.

  • Transfer: moves inventory from your site to another site. See Transfer Inventory Between Sites.

Opening the Inventory Update Panel

  1. Open the item page from the Pantry.

  2. Locate the Inventory section.

  3. Click Update.

  4. The inventory update panel opens with the four actions.

Recording a Check-In, Check-Out, or True Up

  1. Open the Update panel.

  2. Select the action.

  3. Choose the school the inventory belongs to (if you have access to multiple).

  4. Enter the amount and the unit.

  5. For True Up, enter the actual on-hand amount; Gaia calculates the difference.

  6. Optionally enter notes for the transaction log.

  7. Save.

Where the Change Appears

Every action recorded here is added to the inventory transaction log for the item and school. The new on-hand amount is reflected immediately in the Pantry, the On-Hand Panel, and any open production records.
