When importing a Purchase Order (PO) into Genie, following these best practices can help ensure the process runs smoothly and your data stays accurate. Here’s a simple guide to make sure everything is set up properly.
1. Ensure Product Information is Accurate
Start by checking that the product and variant names in your PO match exactly what’s listed in both Genie and your Shopify catalog. Because these platforms are connected, matching names ensures everything syncs correctly.
How to Check: Search for the SKU or product name in Genie or in your Shopify account to confirm that the information matches the imported document. This step helps avoid confusion and errors during the import process.
2. Verify Supplier Information
Make sure you have a supplier added and their details are correct on your PO. Including suppliers in the import or any PO is important because it ensures Genie applies the correct settings and insights to the products listed.
If you haven’t created a supplier yet, this can be done very easily from within the PO by typing in the name of the supplier and selecting “create supplier.” Additionally, if you’d like to create more than one, you can do so from within the supplier tab (more info here)
3. Add Additional Context
Context is always important to the PO creation workflow. Not only does it give you the information you need when managing and tracking the order status, it provides Genie with the information it needs to ensure insights are accurate and useful. This context can include but is not limited to:
Delivery Date
Unit Costs
Ex-Factory date
Number of Shipments
Payments
Documents
Additional costs
4. Include Quantities
We don’t require units to be added to your orders but it's strongly recommended to add the quantities. Without quantity information, you won’t be able to track the incoming units on your inventory table, nor will you be able to see the effect it will have on your products’ health and status.
Why Quantities Matter: Including quantities and arrival dates allows you to see which items are coming in and gives you a better idea of how you can meet demand with the new order.
While we do offer a pretty lenient requirement for importing POs, several things should be included for you to experience the full effect of having the PO included in your account. Without a lot of this information, the PO doesn’t do a lot to help you plan and manage your inventory effectively.
But with a bit of extra context and accurate information you can import orders that will benefit you and your operations.
