Integrating CLARA + Teamtailor

Overview

This step-by-step guide will walk you through integrating CLARA with Teamtailor ATS in under 30 minutes. CLARA helps automate candidate follow-up and engagement, providing valuable insights directly within your Teamtailor dashboard.

Prerequisites

Before starting, ensure you have:

  • CLARA Account: Admin access to your CLARA platform

  • Teamtailor Admin Access: Site Admin permissions for API key creation triggers setup


Step 1: Access CLARA Integration Settings

Objective: Navigate to CLARA's integration configuration

Process:

  1. Open CLARA Settings

    • Log into your CLARA account.

    • Click on Settings in the main navigation.

  1. Navigate to Integrations

    • Select Integrations from the settings menu.

    • Click the“Add Integration” button on the top right of the screen.


Step 2: Select Teamtailor as Your ATS

Objective: Configure CLARA to connect with Teamtailor

Process:

  1. Choose Applicant Tracking System

    • Click on the Applicant tracking system dropdown menu.

    • Select Teamtailor from the available options.

    • Save your place and open a new screen. You're heading over to Teamtailor now.

Step 3: Get your Teamtailor API Keys

You'll need to grab your API Keys from your Teamtailor account.

While logged into Teamtailor, click into your settings from the menu on the upper-right hand side of the screen.

Go to the Integrations section and click on "API keys." and then choose "New API Key."

A new window, "New API Key," will open. Select "Admin" from the API Scope dropdown menu.

Select both "Read" and "Write" options; then click "Create."

Your API key will now be available in your list of API keys. Make sure to copy it and save it for later!

Step 4. Get your Partner API Key.

**NOTE: You will also need to save this key for later!

To get it, go to Teamtailor's Settings > Integrations > Marketplace Activations.

Go to "CLARA" and click "View settings."

The following screen will appear.

This is where you'll want to copy the "Integration key" and save it for later.

Step 5: Connect the Teamtailor integration

  1. Head back over to CLARA and paste in your API key and Partner API key.

  2. Enter your info and click "Connect to ATS."

  3. Choose Jobs to Process - A "Select Jobs to Process" window will open. Select all of the jobs you would like to add to CLARA.

4. Map Actions - CLARA can map actions to your ATS. Enable CLARA to sync job status with your ATS.

5. Follow Up Questions - Decide the job status where you would like to send follow up questions. This can be set up later.

Submit. You're now connected!

Step 7: Set Up Teamtailor Triggers

The Teamtailor triggers will decide when a candidate should be sent to CLARA. You can set up the CLARA trigger in the Job template or for each individual job. You will do this inside of Teamtailor.

Update your job templates to include the CLARA trigger.

In Settings, go to Job Templates. Select an existing job template or create a new job template.

In Stages (left navigation menu), decide when you would like CLARA to process the candidate. For example, if you want every candidate to be processed as soon as they are in the Inbox, add the trigger to Inbox.

  1. Click "Stage actions."

  2. Select CLARA.

  3. Switch the webhook on.

  4. Add the trigger.

Name the template, add recruiter instructions, and update the template.

Update a single job to include the CLARA trigger

To add or update a trigger, select the job and click the Triggers icon. Next, select "Add Trigger" and select the CLARA trigger.

Step 8: CLARA Processes Candidates and Sends Data to Teamtailor

After candidates have been processed, they will be sorted into "not qualified" or "pre-qualified" buckets. Review the candidates CLARA match score and details in CLARA or Teamtailor.

Add Additional Jobs to CLARA

  1. In CLARA, go to the Jobs page.

  2. Choose "Add Job."

  3. Choose to import the job from your ATS.

  4. Select the jobs you would like to add and confirm.
