Connecting Workday with CLARA

You can integrate Workday with CLARA to sync jobs, applications, and candidate updates. This guide walks you through the full setup process.

Prerequisites

  • Admin access in CLARA.

  • Admin access in Workday with permission to manage API Clients.

Note: CLARA offers a one-way integration with Workday ATS that pulls candidate data for AI-powered screening and scoring within your existing workflow, with information flowing from Workday to CLARA but not back to the ATS.

Step 1: Start the Integration in CLARA

  1. In CLARA, go to Settings → Integrations.

2. Under Add New Integration, select Workday.

3. Click Connect to ATS.

Step 2: Register an API Client in Workday

  1. In Workday, search for Register API Client for Integrations.

2. Fill out the required fields:

3. Client Grant Type → Authorization Code Grant

4. Access Token Type → Bearer

5. Enable Non-Expiring Refresh Tokens

6. Under Scope, include Recruiting, Integrations, Organizations & Roles, and related data areas.

7. Click Done.

Step 3: Generate Client ID and Secret

  1. From View API Clients, open the new API client.

  2. Select Generate New Client Secret.

3. Copy the Client ID and Client Secret.

4. Paste these into the CLARA setup screen.

Step 4: Create a Refresh Token

  1. In Workday, go to View API Client → Manage Refresh Tokens for Integrations.

  2. Select your Workday Account and click OK.

  3. If a token already exists, select Delete or Regenerate Refresh Token.

4. Copy the new Refresh Token and paste it into CLARA.

Step 6: Finalize the Connection

  1. Once Client ID, Client Secret, Refresh Token, and Custom Report URL (if required) are entered, click Continue.

2. CLARA will validate the connection.

3. If successful, you’ll see Status: Active.

Step 7: Configure Sync Options

  1. In CLARA, choose which candidate statuses should trigger follow-up questions (e.g., Screen, Assessment, Reference Check, Background Check).

2. Select jobs to process — you can import additional jobs later.

Troubleshooting

  • Token Errors → Regenerate a Refresh Token and paste it again in CLARA.

  • Insufficient Permissions → Ensure Recruiting and Candidate scopes are included in your API Client.

  • Integration Status: Failed → Double-check Client ID, Secret, and Refresh Token values match exactly from Workday.
