Step-by-step Instructions
Page Overview
The Schedule Page is designed to provide a comprehensive view of all the scheduled activities for your team.
At the top of the page, you'll find controls to switch between multiple views, depending on the needs of your workflow. The default view is the "Dispatch" and "Calendar" view, which displays all events in a calendar layout.
You can select which technicians are displayed in the Schedule and/or filter by department.
Event Colors & States
The main content area will display all of the current days scheduled events, the style of which depends on the view type selected.
Events in the calendar are color-coded by job class.
Internal events are Grey
Service visits are Teal
Maintenance visits are Blue
Sales visits are Orange
Install visits are Magenta
Events in the calendar views have multiple states:
Ongoing or Upcoming: Full color and wrench icon
Running Late or Work Incomplete: Orange highlight that pulses
Completed: Grey color and checkmark icon
"To Schedule" Sidebar
The "To Schedule" sidebar displays any visits that haven't been assigned for the currently selected day.
Each Visit card will display high-level details such as the Job Type, Date & Arrival Window, Primary Contact, and Service Location. To assign a Visit, drag and drop it onto a Technician in the Dispatch view.
You can click on the carrot icon to collapse the sidebar if there are no unassigned Visits.
Dispatch View
The Dispatch view displays team members in a vertical list, with each member having their own timeline for scheduling purposes.
Along the top of the calendar you can view the current month, weather forecast, and current day selector.
You can quickly view the details of an item in the calendar by hovering your mouse over it. A hover card will be displayed that contains the high-level job info and quick actions.
If a visit has been completed, you'll be able to see a callout that contains any notes that the technician may have left.
Clicking on a Visit will open the Visit Details drawer. There you'll be able to see all of the information that pertains to the customer and job.
The sections are:
Account Details
Visit Details
Job Details
In the Account Details section you'll be able to view high-level details about the account and primary contact.
You can access a summary of the customer's service history by clicking on the "Service History" button.
This will display the highlights of the last 18 months and provide a summary for each individual job.
In the Visit Details section, you'll be able to edit the visit, resend the booking confirmation, cancel the Visit, or add/remove technicians.
And in the Job Details section, you'll be able to view any Invoices, Estimates, and Notes.
Scheduling a visit can be done by clicking and dragging in an individual's timeline.
Complete the details in the modal and new job form to save and assign the Job.
Day View
The Day view displays all of the currently selected day's visits along a vertical timeline.
The styling of the event items remains the same, except that now a small avatar with the assigned technician's initials is displayed.
Hovering your mouse over an item triggers the same hover card as the dispatch view and clicking on an item triggers the same Visit Details drawer.
Week View
The Week view displays all of the schedule visits for the currently selected week.
The styling of the event items remains the same, except that now a small avatar with the assigned technician's initials is displayed.
Just like in the other two calendar views, hovering your mouse over an item triggers the same hover card as the dispatch view and clicking on an item triggers the same Visit Details drawer.
Map View
The map view allows you to view all of the currently selected day's visits as pins on a Map. This can be helpful during scheduling when optimizing technician utilization and travel routes.
Clicking on a pin will display a hover card that displays high-level info about the job.
If a technician has a gap in their schedule, you can click on "Show Nearby Maintenance Opportunities" to see what customers are nearby and could use a tune-up.
You can adjust the radius to control the amount of results that appear.
Selecting the opportunity will highlight the corresponding card in the left sidebar.
If you get in touch with the customer you can easily launch the Create Job form by clicking on the "Create a Maintenance Job" button in the card.
And that's it for the schedule page overview!
