Auto-Expiration automatically marks estimates as expired after a set number of days if they have not been accepted or explicitly rejected. This helps prevent customers from acting on old pricing or terms.
Set up Auto-Expiration
Go to Settings then Estimate Settings.
Find the Auto-Expiration section.
Turn on Enable Auto-Expiration.
Enter the number of Expiration Days you want, for example 60.
Save your changes if a save button appears. Some accounts save automatically.
Tips and examples
30 days for fast-moving work where pricing changes often.
60–90 days for standard residential work.
120–365 days for long sales cycles.
How it works
When Enable Auto-Expiration is turned on, the system checks the age of each estimate.
If an estimate has not been accepted or rejected within the number of Expiration Days, it becomes expired.
You can choose any value from 1 to 365 days.
Note: Exact behavior after expiration can vary by account configuration. In most setups customers can no longer accept an expired estimate and the estimate is clearly labeled as expired.
What you’re seeing in the list
Expired badge
The gray Expired label in the Status column indicates the estimate is no longer actionable by the customer.Info icon (i)
Hover over the i icon next to the badge to see why it expired. The tooltip shows:Lost Reason: Expired
Details: Automatically expired by system after 85 days of inactivity
The number of days shown here matches your Settings → Estimate Settings → Auto-Expiration → Expiration Days value.
Why “85 days” in the screenshot?
This example organization has Expiration Days = 85, so the system marked the estimate as expired on day 85 if it wasn’t accepted or explicitly rejected.
Frequently asked questions
What happens to an expired estimate?
Typically it is labeled as expired and cannot be accepted by the customer. You can update the estimate or create a new one and resend. If your account supports reopening, you may be able to adjust the expiration and resend.
Does the timer start at creation or when I send the estimate?
Auto-Expiration counts from the creation date of the estimate.
Can I override expiration for a single estimate?
You can adjust the expiration days globally in settings. If you need a one-off exception, edit or duplicate the estimate and resend with updated terms.
Who can change this setting?
Usually only admins or users with company settings permissions.
