Spear + HubSpot Integration — Setup Guide

Full setup guide for the Spear-HubSpot integration: install, configure field mapping and exclusions, use, disconnect, and uninstall.

Overview

Spear is a signal-first outbound platform for B2B sales teams. The HubSpot integration keeps your CRM in sync with your outreach:

  • Contacts — prospects who reach an engagement stage you choose (Replied, Interested, Pending Booked, or Meeting Booked) are added to HubSpot as contacts and kept current with their engagement status and interaction history. Spear matches against your existing contacts first, so it never creates duplicates, and it does not set contacts as marketing contacts.

  • Companies — Spear creates and maintains the company records behind the contacts it syncs and links each contact to the right company.

  • Exclusions (read-only) — Spear reads your contacts, companies, and deals to keep accounts you're already working out of your prospecting.

  • Booked meetings (read-only) — when a prospect books a meeting through HubSpot, Spear marks the prospect as Meeting Booked and notifies your team.

  • Properties (two-way) — Spear reads your contact and company properties to power field mapping, and maintains a single custom "Spear ID" property on each object for reliable matching.


Before you begin

You'll need:

  • A Spear account on a paid plan (sign up at getspear.ai or contact us for a demo).

  • A HubSpot account where your user has permission to install apps (App Marketplace access or Super Admin).


Install the app

  1. On the Spear listing in the HubSpot App Marketplace, click Install app. You'll be directed to Spear to sign in (the connection is initiated from your Spear account).

  2. Sign in to Spear.

  3. In Spear, open Settings from the left navigation and select the Integrations tab.

  4. On the HubSpot card, click Connect.

  5. You'll be redirected to HubSpot's authorization screen. Choose the HubSpot account to connect and review the requested permissions (contacts and companies read/write, deals read, and property/schema access for field mapping), then click Connect app.

  6. You'll return to Spear and the HubSpot configuration will open automatically. The HubSpot card now shows Connected.


Configure the app

Open Settings → Integrations → HubSpot → Manage integration. Configuration has three tabs:

1. General settings

  • Auto export prospects — toggle on to sync prospects automatically, and choose the engagement stage that triggers the sync: Replied, Interested, Pending Booked, or Meeting Booked. Prospects are added to HubSpot only once they reach the stage you select.

  • Continuously update status field — keep each synced contact's engagement status current as the prospect progresses (requires mapping the Status field).

  • Export prospects with emails only — optionally skip prospects that don't have a work email.

2. Object syncing (field mapping)

  • Map Spear prospect fields to your HubSpot Contact properties, and Spear company fields to your Company properties. Only the fields you map are written.

  • Create the Spear ID property when prompted — a single custom property on contacts and companies that Spear uses to match records and prevent duplicates. Don't edit it manually.

  • Use Test to send a test record and verify your mapping before saving.

3. Excluded companies

Build exclusion rules on any HubSpot field across Contacts, Companies, or Deals (for example: companies with open deals, or contacts owned by a specific rep). Matching companies are kept out of your prospecting lists and refresh automatically as your CRM changes. This data flows only from HubSpot into Spear.

  1. Select the company object — choose the object in HubSpot that represents a company (e.g. the Deal object).

  2. Set exclusion filters — add filters to specify which companies should be excluded (e.g. exclude all active customers by setting Deal Stage = Closed won). You can add multiple filters.

  3. Add additional objects (optional) — if companies are represented by more than one object type in your HubSpot, click Add object to include them.

This is an example of how an excluded company list may be configured. The exact setup will vary by HubSpot configuration.


Use the app

Once configured, the integration works largely on its own:

  • Automatic sync — when a prospect reaches your chosen engagement stage, Spear adds them to HubSpot as a contact (with their company), or updates them if they already exist. Replies and connections update the contact with activity notes in real time.

  • Manual export — select one or more engaged prospects in Spear and choose Export to HubSpot from the actions menu.

  • Booked meetings — when a prospect books through a HubSpot meeting link, Spear detects it, marks the prospect as Meeting Booked, records the date, and notifies your team.

  • Exclusions — Spear continuously honors your exclusion rules so existing customers and active opportunities are never targeted.

Expected result: once configured, prospects and conversation data sync automatically between Spear and HubSpot based on your mapping, and excluded companies are filtered out of future outreach.


Disconnect the app

  1. In Spear, go to Settings → Integrations → HubSpot → Manage integration.

  2. Click Disconnect.

What happens to your data: syncing stops immediately. Contacts, companies, and activity already written to HubSpot remain in your HubSpot account — nothing is deleted. The custom "Spear ID" properties also remain (you can delete them in HubSpot if you wish). Reconnecting later resumes matching via the same properties.


Uninstall the app

To remove Spear from your HubSpot account entirely:

  1. In HubSpot, go to Settings → Integrations → Connected apps.

  2. Find Spear, click Actions → Uninstall, and confirm.

FAQ

Does Spear create contacts for prospects who haven't engaged?
No. Contacts are created only once a prospect reaches the engagement stage you configure (Replied or later). Pre-engagement stages are not available as sync triggers.

Will Spear duplicate contacts I already have?
No. Before creating anything, Spear matches against your existing contacts (by Spear ID, email, or profile URL) and updates the existing record instead.

Does Spear change lifecycle stages or marketing status?
No — unless you explicitly map those fields. Spear never sets contacts as marketing contacts.

Which HubSpot plans are supported?
Any plan that supports installing App Marketplace apps.
