How to Exclude & Include Companies

Exclude companies from your campaigns and stop all outreach to them, including prospects already in Spear. Sync from CRM, upload a list, or exclude manually. You can also include specific CRM-excluded companies for your profile only.

Why Exclude Companies

Excluding a company stops all outreach to it, including prospects who are already in Spear. You don't accidentally prospect current clients, competitors, or closed deals. There are three ways to exclude: manually, by CSV upload, or by syncing from your CRM.

Who Can Manage Exclusions

Admins and super-admins can manage exclusions at the organization level (affects every profile) or at the profile level (just one profile). They can also copy exclusion lists between profiles.

Regular users can only manage exclusions on their own profile. They can't edit organization-level exclusions or copy lists to others.

How to Exclude Companies

Option 1: Manual Exclusion

Step 1: Go to Profile settings → Excluded companies.

Step 2: Click Add companies.

Step 3: Search for the company name, select it from the dropdown, and click Add.

The company is now excluded. All outreach to it stops, including prospects already in Spear (see "What Happens When You Exclude a Company" below).

Option 2: Upload a CSV

Step 1: Go to Profile settings → Excluded companies → Upload CSV.

Step 2: Select your CSV file.

Step 3: Map the columns: select which column contains company names and which contains domains.

Step 4: Click Upload. All companies in the file are now excluded.

Option 3: Sync from Your CRM

If you use HubSpot or Salesforce, you can automatically exclude companies based on deal stage or other criteria.

Step 1: Go to Profile settings → Excluded companies → Sync from CRM.

Step 2: Click Manage Integration.

Step 3: Select Excluded companies.

Step 4: Toggle on Sync companies.

Step 5: Choose the object type (e.g., Deal) and set filters (e.g., Deal Stage = Closed won) to specify which companies to exclude. You can add multiple filters.

The sync runs automatically. As deals move through stages or new companies meet your criteria, they're added to (or removed from) your exclusion list. Companies added by the sync get the same treatment as manual exclusions.

Override CRM Exclusions for Your Profile Only

New: If your CRM excludes a company, you can now include it for your profile only, without changing the org-wide exclusion. Other profiles stay blocked, and the include survives CRM syncs.

Where to find it: Go to Profile settings → Excluded companies → CRM Excluded section. You'll see companies that are excluded via CRM sync.

Step 1: Find the company you want to prospect.

Step 2: Hover over it and click Include for my profile.

Step 3: The company turns orange to show it's included just for you. All other profiles still see it as excluded.

To undo the include: Hover again and click to revert. This dismisses any hidden or scheduled prospects from that company and denies any that were already pushed, but sequences keep running if they exist.

Including via Company List Upload

You can also include a CRM-excluded company when you upload a company list to a campaign.

If you upload a list with a company that's normally excluded, you'll now see a Push anyway option. Click it to include that company for that profile. It works the same way as the settings override.

Agent Includes

The agent can include CRM-excluded companies only through the company list upload flow, not from settings. If you want the agent to include a company, upload it as part of a list.

How the Exclusion List Works

The list shows company domains. Hover over a domain to see the company name.

If a company doesn't have a domain assigned in your CRM, it won't be excluded. Add the domain to the company record in your CRM, then it will exclude correctly on the next sync.

What Happens When You Exclude a Company

Excluding a company stops all outreach to it, including prospects who are already in Spear. It works the same whether the company is added manually, by CSV upload, or by CRM sync.

  • Active sequences of prospects at that company pause automatically

  • Prospects from that company still waiting in Suggestions or in the queue are auto-denied

  • All monitored prospects from that company are automatically denied

  • This applies only to companies with assigned domains

Tips & Best Practices

  • Manually exclude your top accounts or critical companies first. Don't wait for CRM sync

  • Use CRM sync for volume exclusions (e.g., all closed deals) to keep your list up-to-date automatically

  • Before adding a company, check whether you have active conversations with its prospects. Their sequences will pause

  • Review your exclusion list periodically. Remove companies that are no longer active so you can prospect them again

  • Profile-level includes override org-wide CRM exclusions. Use this when you want to personally prospect a company your org normally avoids
