How to use the KAN Registers

Learn how to use the registers in Trail to keep up with your obligations and understand what each register represents.

To keep in line with our KAN Policies and Processes, and to make our Compliance Assurance programme effective, you have to update and maintain these registers. We will use these registers and this information to monitor and advise on how you can improve your business 👍

The Registers page is only for members of the Kiwi Adviser Network. If you cannot see the following button on the left-side menu of Trail and are a member of KAN, please contact support and we will help you out.

NOTE: Certain registers cannot be edited. This means that you cannot edit an entry when added, nor can you delete any entries.

Basic Functions of the Register

Add Entry - On every page (except the Complaints Register and Professional Development Calendar) you have the ability to add entries to the register. We’ll go into more detail on how each register changes the information you can add below.

Sort by Person/Team - This button located to the right of Add Entry is used when you wish to filter by person/team when viewing each register.

Sort by Time Frame - This button is used when you wish to filter the register entries by different timeframes.

Change Columns - You can use this button to change the columns displayed to you when viewing each register.

Download - Each register can be extracted to an Excel Spreadsheet for further analysis or audit purposes. The download will change based on your filters selected in the previous buttons.

Company Documents

Key Company Documents

In this register, you may upload any key company documents, including your Templated Company Policies, Processes, and Controls document in addition to your Company CAP document or Business Continuity Plan. All users will have access to view and download this from this area.

Human Resources Section

Approved People Register

In this register, KAN assigns a list of all people included in your organisation. You may upload your PI cover here. To edit this register, please reach out to our support team.

Professional Development Calendar

Here is where you can find all upcoming events in relation to your professional development.

Continuing Professional Development Register

This register is where you add in any accumulated CPD points from attending various KAN events or webinars.

Advice Section

Complaints Register

Complaints are added automatically to this register when a Complaint is created. This can be done either in the profile of a client, or a client can do this in their client portal.

Operational Infrastructure Section

Outsourced Provider & Technology Solutions Register

This is where you add in any third party companies that assist with the daily running of your business. Some examples include KAN, your email provider, marketing tools, etc.

Referral Register

When a new Referral is added, it automatically creates them a profile in your organisation. You can then add this person to a profile under the relationship tag of Referrer. You will then have a list of all referrals made by the Referrer in their profile. Here’s a guide on how this works.

Marketing/Advertising Register

This is where your business uploads all marketing material.

Incident Register

This register is where incidents are logged, including privacy or material breaches, health and safety, or record keeping issues.

Governance Section

Conflicts of Interest Register

This is where you register any conflicts of interest as they pertain to the business or individuals in the business.

Gift Register

This is where all gifts are logged that exceed your FAP's maximum gift policy. This can be gifts given to the business or individuals of the business.
