If you're looking to sell tickets to an event, an Event Page is what you'll want to create. All Event Pages are made through the "Event Ticketing" menu in your nonprofit dashboard.
Event Details
Events Page work a little differently from Campaign Pages because they're for selling tickets to an event you're hosting. The first two fields you're shown are self-explanatory.
"Event Name" - This is the internal name of the Event page. The name you write here is just for your own records and won't be shown to the public. If you ever download data reports through your Stripe account this is the name that will appear alongside any ticket purchase information.
Important: This field will be locked from changes as soon as the first ticket is sold.
"Display Event Page Title As" - This is the public facing name of the Event Page. What you write here will be seen as the name of the event by anyone who visits the page.
Important: This field will also change the URL of your Event Page until the first ticket is sold. After that, editing this field will no longer change the URL but it will still change the Event Page's title.
Event Location
The "Event Location" setting on Event pages is unique. You can tell your donors that your event will be in person, virtual, or even both!
In-person event location
If you know your event will happen in person you can set the address on your Event Page for potential ticket buyers to see. Even if you do not have a location yet you can still communicate it will be in person by clicking the "In-person event location" checkbox.
You can do this even if you don't have an address yet, just make sure to select the "I don't have an address yet" option. This will display a box that says "An address will be provided soon" on your Give Lively event page. No notifications are sent to attendees once you do have a location set, however. So it'll be up to you to tell your attendees when the location has been chosen.
If you do have an address for your event then clicking on the "Search for an address or venue" option will allow you to find the address in a small Google Maps window. The search bar will auto-complete any address you type in if it's able to find it within Google's database. After hitting enter, the form will expand to show all the fields pre-filled out with a small Google Maps embed of the location showing. You can edit these fields if needed, as well.
Virtual Event Location
The "Virtual Event Location" field lets you display a link to where you'll be hosting your online event. Even if you do not have the link ready yet, you can choose the "I don't have a link yet" option which will let users know that there will be a virtual event but that the link to it is still being determined. No notifications are sent to attendees once you do have a link set, however. So it'll be up to you to tell your attendees when the link has been confirmed.
If you decide that you don't want the link to the virtual event to be publicly shared, you can select the "Private Link" option to have the link sent to donors within the receipt they're automatically emailed after purchase. The Event Page itself will still say that a virtual event will be happening, but that the link will be sent in the receipt email.
Event Date & Description
You can publicly display what date your event will start and end, as well as set the timezone the date works around. The "Event Ends" field is optional in case you're not sure when the event will end.
The "Event Description" field works the same as the description box on our Campaign pages. It's recommended to type directly into the text box instead of copy and pasting from a different document so that no formatting issues arise.
Event Additional Details
Although Event Pages are made for selling tickets they can also accept donations! The "Additional Details" section of your Event Page lets you pick from any of the Campaign Pages you have already made and associate your Event Page with it. This will make it so that donations made on your Event Page will be processed through the associated Campaign Page. Doing this will link both pages together, however. So if you close the Campaign Page associated with your Event Page, that will close the Event Page, as well.
You can change what Campaign Page your Event is associated with as many times as you want until the Event sells its first ticket. Once a ticket is sold the field becomes locked so your Event Page becomes permanently associated with that Campaign Page.
Logos and Images
This section of your Event pages works almost the same as your Core Profile and Campaign Pages, just with less options. So the instructions below will be familiar to you if you have already worked on a Campaign Page.
Logo
In order to display properly, your logo image should be in JPG format and:
A minimum of 640x640 pixels
No larger than 1MB
The image you upload here will show up as the logo of just the Event Page you're working on. It will not replace the logo on any other page.
Primary Media
The Primary Media setting is for placing an image or video on your page. It will be shown above the "Event Description". You have three options to choose from on what gets displayed.
Image
Video
No Media
Image
Selecting "Image" lets you upload an image to display on just the Event Page you're working on. In order to display properly, the Primary Media image should be in JPG format and be 2000 x 1200 pixels or in a 5:3 aspect ratio.
Video
You can embed a video on your Event Page instead of using an image. Clicking on the video option and the following "Edit" button will show a popup window asking for a link to a video on Vimeo or YouTube. Pasting in a valid link will automatically embed that video onto the page after you click "Save."
Things to keep in mind:
Paste the full URL (with the “https://“) into the bar
Do not use an embed code link.
The video must be set for public viewing by the original video uploader. Any private, unpublished, or hidden videos cannot be embedded even with a link.
No Media
Selecting this option will make it so that no media is displayed above the Event Page's description text.
Brand Color
The Brand Color field takes the hexadecimal color value you paste into it and makes it the color of the buttons on your Event Page. Colors that our system detects as too bright will be automatically darkened to a different hexadecimal value to meet the readability standards for our pages.
Image For Social Media Sharing
This image will only appear when sharing the link to the Event Page on certain social media websites. Facebook, Twitter, or any other social media platform that provides an embedded preview image for links will use what you upload here for its preview.
In order to display properly, the Social Media Sharing image should be in JPG format and:
Minimum of 1200x630 pixels
No larger than 1MB
Ticket Builder
With Event Pages you can make the tickets you're selling have a set quantity, price, and description. You can also set some tickets to become available or unavailable at a specific date range and set how much of the ticket price is tax deductible, which is information that will show up on the purchaser's email receipt.
Categories
There are five categories of tickets that you can sell through our Event Pages. They are:
Tickets
Registrations
RSVPs
Memberships
Sponsorships
When creating an Event Page for the first time, the "Tickets" category is set as the default category but it can be changed, and more categories can be added to suit your needs.
All categories use the same settings for their tickets.
Ticket Settings
There are three settings that every ticket presents you with by default.
Name - This is for naming the ticket the person is buying. Depending on the category you've selected, this field will be titled accordingly as "Ticket Name," "RSVP Name," "Sponsorship Name," etc..
Important: If you're going to sell multiple tickets at the same price, make the ticket names unique to avoid any confusion when downloading reports of your ticket sales.
Total Quantity - For setting how many of this ticket type people can buy before you've sold out of them.
Example: If you only had 25 tickets to sell, writing the number 25 into the Total Quantity field will stop anyone past the 25th sale from being able to purchase a ticket. This setting is optional so if you have an unlimited amount of tickets, you can leave it blank and it will never sell out.
Price - For setting the ticket price.
If you're wanting to sell free tickets then leaving this field blank will make the ticket free.
In addition to that, every ticket has four additional options for adding more details. These details are unique to each ticket, so they do not apply to the entire category. You can see these options by clicking on the "Add more … details" dropdown link under where you write the name of the ticket.
The first thing you will see is a Description text box for writing information to your attendees about what the ticket purchase is for. The next three options are more specific.
Ticket Additional Settings
Clicking on the "Set a specific date range" checkbox opens up the date range field. This lets you set the ticket to start and stop selling at specific dates and times.
Using these date ranges is also the way to hide a ticket from view on a page. Once the "Sale Ends" time you set has passed the ticket will automatically be hidden from view. So anyone looking at your Event page after that date won't be able to see or buy that type of ticket. The date range options are only visible when the checkbox is clicked.
The last field, "How much of this membership price is tax deductible?" allows you to set how much of the ticket price the ticket buyer can report as tax deductible. The buyer will be able to see how much of their purchase they can deduct from their taxes in the receipt email sent to them after making their purchase. If you write the number "0" in this field then the buyer will not be able to report any of the ticket price as tax deductible.
Additional Questions
Event Pages can also ask ticket buyers for additional information on their company/organization name, phone number, and mailing address. These questions can be set to be required before ticket purchase.
Custom Questions work differently on Event Pages than they do on Campaigns. Event Pages can only ask one custom question that can only be a text field or checkbox type question. Further custom questions cannot be added to Event Pages at this time.
Thank You Message
Just like with a donation, anyone who purchases a ticket to your event is automatically sent a receipt email that can include a customized "Thank You" message along with:
A summary of the donation for tax reporting purposes
A link to the User Portal (REPLACE WITH NEW USER PORTAL LINK) through which donors can view their donation history and receipts, manage recurring donations, and more
The merge tags you can use for this email are the same as on our Campaign Pages:
*|FNAME|* (this is the donor's first name)
*|LNAME|* (this is the donor's first name)
*|DONATION_AMOUNT|* (this is how much was donated)
*|DONATION_DATE|* (this is the date of the donation)
*|DONATION_TIME|* (this is the time of the donation)
Reply-to Email for all Donation Receipts
This field is where you should put in the email address that donors should send their questions to. Any donor that responds to a receipt they're sent will get their email sent to the one in the "reply-to" email field.
Additional Message For Each Ticket
Event Pages allow you to send an additional thank you message that is unique to each kind of ticket a person can purchase. Writing these is optional, however, and will not affect your ticket buyers from purchasing tickets or receiving their receipt email.
Currently, the button for sending yourself a test e-mail cannot display these additional custom messages. The only way to see them is to buy a ticket of the tier that you have made the custom thank you message for.
Export Event Attendee Data
Attendee data from your Event Page can be downloaded as a CSV (comma-separated value) file. The CSV will include your attendees' first and last names, tickets purchased, and answers to any additional questions asked at checkout.
You can download it from the dashboard of your Event Page by clicking on the "Export" button underneath the "Event Results" section. Alternatively you can also download a report from the Line Items (All) menu.
For any requested report with fewer than 1,000 charges, the download will begin automatically on the browser.
For any requested report with 1,000 or more charges, a popup alert will advise that the report will be downloadable through an email. This email will be sent to the email associated with the Admin user that clicked the Export button. Each report will be available for 72 hours from the time the email is sent. If the time expires before you're able to open the email then you will need to generate a new report
Use the "Shareable CSV" feature
A shareable CSV makes it possible for multiple people at your nonprofit to see your event data in via a URL.
This feature is unique in that it allows you to import the event data from the URL into a spreadsheet, like Google Sheet, that will update hourly. This may be helpful if you want a constantly updating tracking sheet of event attendees.
To create a self-updating Google Sheet containing the data from the shareable CSV
Create a new Google Sheet.
Copy this function into the first cell:
=IMPORTDATA("URL COPIED FROM ADMIN PORTAL”)
For additional details, see Google’s instructions here.
Revoke Access to The Shareable CSV
After a Shareable CSV has been created, a new button will appear called "Revoke Access." Clicking on this button will disable the link from working. After it's clicked you can create a new Shareable CSV link, but that link will be different than the one that just had its access revoked.
Close an Event Page
Event Pages can only be deleted before they have made a sale. After a ticket has been sold, the Event Page cannot be removed. If you would like to stop your Event Page from selling more tickets, you can do so by hiding the tickets from view. This can be accomplished by changing the sale dates of the tickets so that the time-to-purchase has elapsed. This will remove the tickets from public view, but the Event Page itself will continue to be visible.
Delete an Event Page (Only If No Tickets Sold)
Deleting event pages is done from the "Event Ticketing" page in your Admin dashboard. This will pull up a list of all the Event Pages you have created. Clicking on the "X" button towards the right of the event page in the listing will allow you to delete it.
Any Event Pages that have sold tickets will have their "X" buttons greyed out as they cannot be deleted.
Hide Tickets From Purchase
You can hide tickets from view by setting a ticket to be past its purchase date. This is done through the ticket's "Additional Settings" page explained earlier in the article. Set the "Ticket Sale End" date and time to be one that has already passed. This will hide the ticket from view on the live Event Page so no one can see it as available for purchase.
