How to create an activity or online tournament registrations

Introduction

We remind you that the Activities module is an independent module and is not synchronized with either the booking module or the Academy module.

General

Basic information to customize the client's experience on our website, widget and/or app:

Name: In this field we will put the name of the activity, tournament or event.

Start: Start date for the publication.

End: End date of the publication.

Long description: In this section we will describe the activity, place, date of celebration, modality and prizes in case of tournaments, etc.

Appearance

In this section we can customize how to present the activity by means of a photo, text color and/or a background color:

Image: Select an image of the activity to publish it.

Online sales

In this section you will be able to parameterize the activity through the following parameters and options:

Online sale: If you activate this option, you will be able to sell this Activity online. NOTE: It will be visible on the booking website even if this box is unchecked.

Allow anonymous registrations: If you want to open the registrations without logging into the web, click on this option.

Enable waiting list: If you want to create a waiting list for this activity click on this option.

Extra: Depending on the activity we create, we can add extras, for example if it is a golf tournament, we can include for example the buggy.

Product: Select a Product if you want the price of the Event or Activity to appear.

Option On Credit: Option to make the registrations, without previous payment.

Registration start date: This option will open the start date to be able to make registrations.

End of registrations: This option will close the end date for registration.

Minimum registrations at a time: With this option we can limit the number of registrations per person.

Maximum registrations at a time: With this option we can limit the maximum number of registrations at a time.

Maximum participants: We will set the maximum number of participants for the activity.

Note: Once you save this section in Save, you will notice that five new tabs have been created, below we explain each one of them:

Allowed groups

This tab is optional, it allows you to choose which groups, that we have previously created in our system, can view the activity, tournament or event, to do this:

  • Click on New: in the drop-down select the Group and Click on Save (You can add as many groups as you want).

    NOTE: If you have checked the box "Allow anonymous registrations", this tab will disappear and the restriction will not take effect.

Not allowed groups

This tab is optional, it allows to choose that groups that we have previously created in our system, can NOT visualize the activity, tournament or event, but they can be registered by other clients that are allowed to do so. To do this:

  • Click on New: in the drop-down select the Group and Click on Save (You can add as many groups as you want).

    NOTE: If you have checked the box "Allow anonymous registrations", this tab will disappear and the restriction will not take effect.

Questions

This section will allow us to create as many questions as we want when registering for an activity, for example name, age, years etc., we can also make any field of each question mandatory or not.

Name:

Type: In the dropdown you can choose any of the following options depending on the type of question.

  1. Small text.

  2. Long text.

  3. Whole number.

  4. Number with decimals.

  5. Yes/No.

  6. List of values.

  7. Date.

  8. Date and time.

  9. Time.

  10. Currency.

  11. Client Selector.

Mandatory: Select this option if you want the question to be mandatory.

Unique value: Activate this option if the value cannot be repeated.

Allowed Search Options

When selecting the user who is going to book the activity, we have several selection options:

  1. By Member Number.

  2. By Full Name.

  3. By Free Text.

  4. By Relationship.

Registered

This tab gives you the option to:

Search for client: You can search for any enrollee from this field. When you type the name of the client you want to search for, then you have to select the Enter key on your keyboard.

New: In addition to allowing online registrations, you can also make registrations from here.

View deleted: If you have deleted any registrations, from this button you can consult and retrieve registrations.

Download: Download the list of registrations in excel format.

Waiting list

This option will allow us to include registrations in the waiting list, to do so you can fill in the following fields:

  1. Client.

  2. Name.

  3. Phone number.

  4. Email.

Likewise, if the registration is online and the quota is full, the system will warn you that there are no places left and will give you the option to add you to the waiting list, as long as you activate the option Allow anonymous registrations in the online section.

View the clients registered for an activity or tournament

In this article we are going to explain in a simple way how to see the registrations that we have in an activity or tournament that we have published online:

From the Main Menu:

  1. Click on Activities.

  2. Click on ID desired.

  3. Click on the Enrolled tab.

Adding questions to tournament, activity registrations

The "Questions" of Activities are actually the registration form. That is to say, the data that we want to ask the client at the time of registration.

Example: For a "competition" type activity it could be: Name, License, Handicap and email.

Error in Activities. No fields configured

If this error appears it is because you have forgotten to add questions to the activity.
