How to create a course from Occupation

Section: Main Menu > Reservations > Occupancy

To create a new lesson from the Academy occupation, follow these steps:

  • Select day and time. On the School calendar, click on the day and time you want to book the course.

  • Course configuration.

    • Select the type of course you want to configure. To configure a type of course, go to this link.

    • Specifies the start date and end date of the course.

    • Set the start time and end time for each session.

    • Select the days of the week on which the course will be taught.

    • Select Save.

  • Automatic generation of classes.

    • After saving, you will be redirected to the Courses section.

    • Select the Classes tab.

    • You will see that the classes have been automatically generated according to the specified configuration.

Validate the level when registering for a course

Section: Main Menu > School > Courses

To enroll in a course, it is now necessary to validate your level. Previously, this step was not necessary, but now you must be registered and logged in to enroll in an online course.

  • Course levels: In the โ€œSchoolโ€ section, when selecting a course, you will be able to see the minimum and maximum levels required in the course settings. This is very useful to ensure that course participants have a similar level, allowing you to adapt the exercises and course content to their specific level.

  • Comparison of levels: The level required for the course is compared with the level you have indicated in your personal file. This way, you will only be able to enroll in courses that suit your level, guaranteeing a more effective and homogeneous learning experience for all participants.

This new functionality ensures that all those enrolled in a course have a similar level, facilitating the adaptation of the contents and exercises to the needs of the group.

How to copy a group lesson

Section: Main Menu > School > Courses

This functionality is useful for replicating a course from one term to another, for example, from the first quarter to the second quarter.

  • Select the course to replicate.

  • Under Actions, select Copy

  • A new course configuration window will open. Complete the following fields:

    • Course Name: Enter the name of the new course.

    • Start Date: Select the start date of the course.

    • End Date: Select the end date of the course.

    • Start Time: Specifies the start time of each session.

    • End Time: Specifies the end time of each session.

    • Generate Reservations: Check this option if you want reservations to be generated automatically.

    • Copy Participants: Check this option if you want to copy the participants from the original course.

    • Observations: Add any relevant comments or notes in the comments box.

  • Select Save.

Once you have completed these steps, the course will have been replicated with the new settings you specified.

How does a teacher access their teacher classes app?

Through the teacher's area

This will be the usual access option for your teachers:

  • Access the link: https://URL/YOURCLUB/teachers/login

  • Write the teacher's email

  • Write the teacher's password

  • You will access this teacher's class agenda/app

Through the administration area

This option is only valid for those users who have access to the administration portal. Normally teachers will not use this method:

  • Search or filter to find the desired teacher

  • Select the Teacher Reference to enter the details

  • Select the Actions button > Access as the teacher

  • You will access this teacher's class agenda/app

How to mark a no show on a student?

  • Access your class app

  • Search and select the desired class

  • Mark the student you want to give the fault to

    • Recoverable Absence: if you allow this student to make up this absence in another group or class

    • Non-Recoverable Absence: if you DO NOT allow this student to make up this absence in another group or class

  • A label will appear next to the name according to the option chosen in the previous step

  • In addition, this absence will have been added to an administration list (School / Absences)

How to remove a no show from a student?

  • Access your class app

  • Search and select the desired class

  • Mark the student you want to remove the absence from

  • Select the Remove missing optionT

  • The label next to the name will disappear depending on the option chosen at the time of placing the fault

  • In addition, this absence will be removed from the administration list (School / Absences)

How to upload a file to a student?

The teacher may upload photos and/or videos of the student so that the student can consult them through their player profile in the app:

  • Access your class app

  • Search and select the desired class

  • Mark the student

  • Select Upload File

  • Select the File. Only photo and/or video files selectable from your device and with a limit

  • Select Accept

  • The photo will be uploaded to the student's file and can be accessed through the app

NOTE. The client will be able to see their files from the consumer website > profile > my files. From Admin you can see your files from the Main Menu > CRM > Customers > Files tab (the direct URL to that list is demo/customerFile)

How to upload an evaluation to a student?

The teacher will be able to evaluate the student so that they can consult them through their player profile in the app. This option is only available if the club has contracted the forms module:

  • Access your class app

  • Search and select the desired class

  • Mark the student

  • Select Evaluation

  • Select the desired Evaluation

  • Select Accept

  • The form will open

  • Fill the form

  • Select Send

  • At this moment this evaluation will have been added to the student's app so that they can consult it

  • Select Return to return to the list of classes

How to recover a student's class?

Section: Main Menu > School > Absences

The teacher may make up a class for a student as long as the absence has been marked as a make-up absence. From the list in administration you can check all student absences from classes and their status:

  • Access your class app

  • Search and select the desired class

  • Select Add Recovery

  • A dropdown will appear

  • Select the desired student

  • Only students with pending recoverable classes who are not already in that class will appear in this list.

  • Select Accept

This student will be added to the class and the status of this absence will be updated in the administration list

Academy

  • Email course registration from admin. Activate/deactivate this option.

  • Sign up for online courses. Activate this option if you want to allow course registration from the customer area.

  • Generate classes when saving the course. Activate this option if you want classes to be generated automatically when creating a new course.

  • Show student email/phone number in the Teacher section. Check this option to activate the display of email and telephone in the teacher App. If students have contact information on file, you will be able to see their phone and email in class.

  • Red unemployment percentage

  • Orange unemployment percentage

Course types

  • New:

    • Name. Obligatory field. Write a name

    • Area. Obligatory field. Select an option from the drop-down menu or create a new one. In the following steps you will filter the resources and reservation types of that area

    • Reservation type. Select an option from the drop-down menu or create a new one

    • Name format. From here you can customize how the names are generated with the following keys: {type} {date} {year} {time} {endDate} {endTime} {resource} {daysOfWeek}

    • Section Duration:

      • Duration. Select an option from the drop-down menu:

        • Seconds

      • End date. Select a date from the drop-down menu

      • Holidays. Select an option from the drop-down menu:

    • Billing Section:

      • Registration product. (Optional). Select an option from the drop-down menu or create a new one. If you add a product here it means that you will charge each customer who adds this product to the group when signing up. This is usually the case of a quarterly school course, for example. However, if instead of a registration you are going to charge for each reservation (next step), you will leave this field empty

      • Subscription. Select an option from the drop-down menu or create a new one

    • Minimum level

    • Maximum level

    • Minimum age

    • Maximum age

    • Number of participants

    • Gender. Select an option from the drop-down menu:

      • Mixed

      • Male

      • Female

    • Label that assigns. Select an option from the drop-down menu or create a new one. Choose a Customer Tag if you want the system to add this tag to each group participant (next step)

    • Allow online registration. Activate/deactivate this option

  • Actions:

    • Export

How to add extras when signing up for a type of course?

Section: Configuration Menu > School > Course Types

You can now configure your online courses to offer extras to users during the registration process. This option allows you to personalize and enrich the registration process, highlighting the promotions and extras available for special events such as Black Friday.

  • Select the name of the course to which you want to add the extra

  • Select Edit

  • Select Extras Tag and add the tag you want, for example Black Friday.

  • When a customer enrolls online in a course with this tag, they will be offered on the next screen all the extras that also have the same tag added in the product settings.

Advantages to configuring Extras in the types of courses:

  • Special Offers: Make it easy to promote specific offers and extras, such as discounts and additional content.

  • Better User Experience: Users can view and select relevant extras during the registration process, improving their experience and satisfaction.
