Rentals Dashboard with the Mobile App

The Rentals Dashboard on the Mobile App is like the Rentals Dashboard found on a web browser. This is where you can access the mobile app to view existing or past rental orders and manage your rental inventory. Further, you will be able to issue, reserve, edit, and finalize rentals. If you printed barcode labels for your rentals, you can issue and finalize those rentals using the mobile app barcode scanner.

The Rental Dashboard will be organized into two tabs:

  • Rentals: Rental order details for current and past rentals.

  • Inventory: A detailed list of all rental equipment.

In this article, we will discuss the Rental Dashboard, available tabs, editing rentals, and searching for rentals in the mobile app.

Rentals Dashboard - Rentals Tab

When going to the Rentals Dashboard, you will land on the "Rentals" Tab. Here, you will be able to view and edit all existing rentals, Issuing, Reserve, Finalize, and search and filter rentals.

Viewing Rental Orders

On the "Rentals" tab, you will first see all current rentals displayed in a compact view, showing the Member/Guest information, rental tracking id, and expected return date and time, or reservation date and time. Based on the selected filter, the rentals display either the return date or the expected return date, using different colors to represent their status:

  • Reserved, Past Rental (Green)

  • Expired Reservation, Sold (Red)

  • Overdue, Never Returned (Lighter Red)

  • In progress (Yellow)

Clicking any demo order will expand the order and display more information (as shown below).


The fields displayed include:

  • Customer name

  • Tracking ID

  • Issue or Reserved Date/Time

  • Expected Date/Time

  • Notes

  • Actions

    • Change Status

      • In-Progress: Move the rental to in-progress

      • Finalize: Finalize the retna

    • Edit: Edit the rental reservation

Filter Rental Orders

The "Rentals" tab features a filter function that lets you find rental based on one of the available filter (as shown below):

  • Current Rentals

  • Overdue Rentals

  • Past Rentals

  • Reserved Rentals

  • Sold Rentals

  • Never Returned Rentals

  • Expired Rentals

The search field and filter option will be available at the top of the "Rentals" tab.

Searching Rentals

The "Rentals" tab features a search function that lets you find rental orders by matching the search term to the customer's name or rental details (as shown below).

Create/Reserving Rentals

New Rental

You can enter new rentals to be issued immediately or reserved for later manually or by scanning a barcode. To enter a new rental manually on the mobile app, click the "+" button. If you are using Rental Labels with barcodes, click the "barcode" icon to scan the barcode and pre-populate the rental details. When placing the order, you can enter rental details (as shown below).


The mobile app will enable you to enter the necessary rental details (e.g., member/guest information, inventory, multiple rentals, return date/time, and notes), and will also allow updates from a computer or mobile device. Adding Additional Clubs to a Rental Order

If you would like to add an additional rental to the order, click the "Add another rental" button (as shown below). This will display another rental entry tile, where you can use the drop-downs to select the rental or press the scan button to scan a barcode.

Editing Rentals on the mobile app

It happens all the time, a member catches you at the front door, and they want to extend their rental. You can make edits to rentals right in the mobile app. To edit an order, search for and click to expand the order you wish to edit, then click "Edit." You will have access to the same fields and order details outlined in the section above.

Rental Details

When entering or editing a rental, click on "Rental Details" (as shown below) to see the summary, notification settings, and activity logs.

Setting Rental to In-Progress

For rentals that have been reserved for a later date, you can quickly move them to in-progress by following these directions:

  1. Search for the rental that needs to be returned.

  2. Expand the order.

  3. Click "In-Progress" (as shown below).

Finalizing Rentals

When a member or guest returns a demo club, you are ready to Finalizing the Rentals. This can be done within the mobile app. To finalize an order, following these directions:

  1. Search for the rental that needs to be returned.

  2. Expand the order.

  3. Click "Finalize" (as shown below).

  4. After you click "Finalized," fill in the following (as shown below):

    1. Notes: You can add additional notes (as needed).

    2. Choose rental Status: Select one of the following statuses:

      1. The rental has been returned: The rental will be shown as available in the inventory.

      2. The item has not been returned: The rental will be removed from the available inventory.

      3. Customer purchased this item: The rental will be removed from the available inventory.

    3. Rental Details: To review and edit the customer notification, click on "Rental Details."​

  5. Click "Save."

Rental Summary and Activity Log

When editing a rental, in the "Rental Details" section, you will find the order summary and activity log.

Viewing Inventory

Inventory Tab

On the "Inventory" tab, you will see all active rental items displayed in a compact view, showing their status and tracking ID. Clicking any rental expands it, allowing you to create a rental or edit it (as shown below).

Search Rental Inventory

The "Inventory" tab features a search function that lets you find rentals by matching the search term to specific rental details. The search field will be available at the top of the "Inventory" tab.

Issuing New Rental Orders from the Inventory Tab

You can start a new rental manually or by scanning a barcode. To manually enter a new rental, locate the rental item, expand it, and click "Create Rental." If you are using rental labels with barcodes, click the "barcode" icon, and this will allow you to scan the rental barcode and pre-populate the club details.
