⚙️ Supplier Engagement From A to Z: How to use the Tool?

🌿 How to Use the Supplier Engagement Module

Engaging your suppliers is essential for collecting high-quality, granular data—especially for Scope 3 emissions. This guide walks you through the entire Supplier Engagement flow on the platform so you can maximize data quality and drive climate impact.


✅ Why engage suppliers?

By default, emissions are often calculated using average emission factors. When you engage suppliers, you can gather supplier-specific emission factors, leading to:

  • More accurate carbon footprint

  • Better reporting (e.g., CSRD, SBTi)

  • Targeted supplier action


📂 Step 1: Upload your supplier list

Go to your dashboard or Activity Overview > Supplier Module.

You can upload your supplier data in two ways:

  • Manual entry: Add supplier name, email, address, business unit, etc.

  • File import: Use our template (available in the module)

🔍 Tip: The more info you include (emails, IDs, addresses), the easier it is to match and engage suppliers later.


📊 Step 2: Populate your activity and accounting modules

Once your suppliers are uploaded:

  1. Go to your Activity and Accounting modules.

  2. Ensure each row of data (e.g., travel, purchases) includes a supplier name.

  3. Use the exact same names as in your uploaded supplier list to enable matching.

🔗 Step 3: Match suppliers with our database

After uploading and populating data:

  1. Go to the matching interface.

  2. See the % of Scope 3 emissions per supplier to prioritize who to engage.

  3. For each supplier:

    • Match them to a known supplier in our database, or

    • Manually confirm that there’s no match and input placeholder data

🎯 Focus on suppliers responsible for the largest % of your emissions.


📬 Step 4: Send the supplier survey (NZC only)

You can request:

  • Scope 3 data

  • SBTi/CSRD compliance

  • MACO (custom company-specific data)

Choose your preferred language, then generate & send the survey.


📈 Step 5: Track supplier progress

In the Supplier section, you’ll find:

My Suppliers

  • Survey completion status

  • Data provided (e.g., GHG reports, SBTi compliance)

  • Green scores and climate maturity indicators

Greenly Catalogue

  • Access to 50,000+ suppliers already in our database

  • Find alternative, more sustainable suppliers

Analytics

  • Engagement status overview

  • Top emitting suppliers

  • SBTi objectives & green scores


🕒 When to start?

Start at the beginning of your data collection process.
If you delay supplier engagement:

  • You’ll need to re-upload data to get emission attribution.

  • You may lose valuable insights on supplier-specific impacts.
